AI features and pricing updates for Google Workspace Business editions

Your Google Workspace subscription is getting new AI features designed to improve productivity and innovation for your users. With these changes, we will also be updating subscription pricing starting March 17, 2025.

Starting today and continuing over the coming weeks, we'll be adding new AI features designed to improve productivity and innovation for your users. Previously these features were only available in the Gemini for Google Workspace add-on.

How does Google protect my data? 

The addition of these AI features includes the same robust data protection and security standards that come with all Google Workspace services:

  • Users get enterprise-grade data protections when they use the Gemini app. Submissions aren't reviewed by humans or otherwise used to train models. 
  • Your interactions with Gemini in Google Workspace apps stay within your organization. Prompts and content you generate with these features is stored alongside your Workspace content and is never shared outside your organization.
  • Your existing Google Workspace protections are automatically applied. These AI features bring the same enterprise-grade security as the rest of Google Workspace, automatically applying your organization’s existing controls and data handling practices, such as data-regions policies and Data Loss Prevention.
  • Your content is not used for any other customers. None of your content is used for model training outside of your domain without permission.

The majority of these features will be rolling out to your users between January and March 2025. Check the Google Workspaces Updates blog for the latest feature rollout announcements.

What's happening to the the Gemini for Google Workspace add-ons?

The Gemini for Google Workspace add-ons are no longer available for purchase. If you previously purchased Gemini for Google Workspace, you won't be charged for it after January 31, 2025. However, users with a Gemini for Google Workspace license can continue to use these features for the duration of this transition. Learn more.

How does this transition affect nonprofit organizations?

What will happen to my Gemini add-on subscription? 

If you previously purchased a Gemini for Workspace add-on, you will continue to have access to the add-on’s features, but you will no longer be charged for the add-on subscription after January 31, 2025.

As a result of the addition of AI features directly in Google Workspace Business and Enterprise plans, we are making changes to your existing Gemini order after January 31, 2025. These changes include:

  • Updating the price of your Gemini for Workspace add-ons to $0. This ensures you will no longer be charged for the add-on after January 31, 2025. You may receive a $0 invoice depending on your billing setup.
  • Prepaid contracts credited and prorated. If you have prepaid for your Gemini for Workspace subscription, we will ensure you are credited and will prorate the credit as of February 1, 2025. Credits will be automatically applied to future Google Workspace and Google Cloud invoices.
  • No longer renewing paid Gemini for Workspace add-on orders. As Gemini for Workspace add-on features are being introduced to Google Workspace Business and Enterprise plans, the Gemini for Workspace add-ons are no longer available for purchase or renewal.
  • Converting Gemini for Workspace add-on online annual plans to flexible plans. In order to ensure you will no longer be charged for the Gemini for Workspace add-on, we will be switching your subscription to a $0 monthly flexible plan subscription after January 31, 2025.
  • Cancelling Gemini for Workspace add-on offline orders. This means you will no longer be charged for Gemini for Workspace after January 31, 2025. However, as stated above, you will continue to have access to the Gemini for Workspace add-on features.

We’ll be in touch in the coming months with next steps to transition off of your Gemini for Workspace add-on. 

If you purchased your Gemini for Google Workspace licenses through a reseller, contact them to find out how this transition will affect your subscription fees.

Timing of subscription price changes

Price changes for existing Google Workspace subscriptions will begin no sooner than March 17, 2025. The timing of your price change will depend on your payment plan, number of user licenses, and other factors. Starting January 16, 2025, any new subscriptions - including subscription downgrades, upgrades, and plan type changes - are subject to the updated prices.

If you have an Annual/Fixed-Term plan, your subscription price will be automatically updated to the latest pricing no sooner than March 17, 2025, or on your next subscription renewal date (whichever is later).

If you have a flexible plan, existing subscription pricing will be updated starting March 17, 2025.

Switch from Flexible to Annual Plan

If you have a subscription on the Flexible Plan, you may want to consider switching your subscription to the Annual/Fixed-Term plan for the lowest monthly per user price. You can switch from the Flexible Plan to the Annual Plan in the Admin console. If you are unable to make this change in the Admin console, contact sales or contact your reseller if you have one.

Google Workspace pricing FAQ

Below are some common questions about the pricing updates.

How will I be notified of the changes to my subscription?

Primary admins that are affected by an upcoming pricing change will receive an email notification at least 30 days before the change goes into effect.

The Admin console will also display a notification to super admin users and billing administrators at least 30 days before any pricing change takes effect. Learn more about billing and account notification settings here, and how to make a user a super admin here.

Will my price increase if I have a commitment plan or pay in a non-USD currency?

Yes, at your next plan renewal. Workspace product subscriptions, including all payment currencies and plan types, will be subject to applicable price increases starting March 17, 2025 or at your next plan renewal date (whichever is later).

How can I determine the price I'm being charged for my subscription?

You can view your current billing details on the Billing > Manage subscriptions page in the Google Admin console. For details, go to Which edition and payment plan do I have?
If you purchased your service from a reseller, go here instead to learn how to contact your reseller for billing or payment questions.

Can I add users at my current subscription price?

If you have an existing Annual/Fixed-term plan, these changes will not impact your current contract or any renewal event before March 17, 2025. You can continue to add users to your existing subscription per your current contract.

If you have a Flexible plan, subscription pricing will be updated starting March 17, 2025. Price changes for existing Google Workspace subscriptions with 10 or fewer user licenses will begin at a later date. If you add users after your subscription price has been updated, any additional users will also be subject to updated pricing.

Are certain subscriptions excluded from pricing changes?

Customers with an applicable Workspace Business or Enterprise edition are subject to the price change, but the timing of your price change will depend on your payment plan, number of user licenses, and other factors. For example, pricing for existing Google Workspace subscriptions with 10 or fewer user licenses will change at a later date.

For existing customers, pricing adjustments are applicable to Workspace Business and Enterprise plans after any applicable discount period ends.

If you have an Annual/Fixed-term plan, your subscription price will not change until the end of your current commitment term.

The price of my Flexible Plan subscription changed in the middle of the month; how will I be billed?

Your total monthly charge for a Google Workspace subscription depends on your Google Workspace edition, your billing plan type, the number of users or licenses, and your subscription price. 

If your subscription price is adjusted in the middle of a month, the price of your subscription will be prorated based on the number of days at the previous vs. updated subscription price.

With the Flexible Plan, you pay for as many users as you have each month and can add and remove users at any time. If you add or remove users during any month, we prorate your payments. For example, if you add a user on April 1 and delete them on April 15, we charge you for only half a month of service. 

Suspended users are charged at the same rate as active users.

Where can I find my Google Workspace invoice?

At the beginning of each month, we send you an email with a PDF of your invoice for your previous month’s activity. This invoice is for information only. You're automatically charged for the amount shown on the invoice.
