Let Workspace users access Gemini as a core service

As an admin, you control how people in your organization use Gemini with their Google Workspace account. Gemini is a form of generative AI that can help your users create content and understand complex topics. Gemini can help people in your organization be more efficient, productive, and knowledgeable.

How your users access Gemini depends on whether you have the Gemini for Google Workspace add-on:

  • With the Gemini for Google Workspace add-on: When you buy the Gemini for Google Workspace add-on, Gemini is turned on by default as a core service. To let users access Gemini as a core service with their Google Workspace account, assign them a Gemini for Google Workspace license.

    Tip: When you purchase the Gemini for Google Workspace add-on, Gemini as a core service is available to licensed users. The Gemini service setting has an option to also let unlicensed users access Gemini as an additional Google service. For detailed steps, go to Turn Gemini on or off as a core service.

  • Without the Gemini for Google Workspace add-on: If you don’t have the Gemini for Google Workspace add-on, you can turn on Gemini as an additional Google service in your Google Admin console. Your users don’t need a license to access Gemini as an additional service. Note: you must verify your domain before you can use Gemini as an additional service. Terms of service, licenses, and supported regions

Users with a Gemini for Google Workspace license who access Gemini as a core service are subject to the Google Workspace Terms of Service. Data from their Gemini activity will not be used for model improvement or reviewed by humans.

Users without a Gemini for Google Workspace license who access Gemini as an additional service with their Google Workspace account are subject to the Google Terms of Service and the Generative AI Additional Terms of Service. Data from their Gemini activity may be used for model improvement and reviewed by humans. Tell these users to avoid entering confidential or sensitive information when using Gemini.

Gemini (gemini.google.com) is currently not supported for users in Hong Kong, France, or French territories. However, all other Gemini for Google Workspace features are supported in these regions. Learn more about Gemini country availability.

Important: 

  • If you’ve used Gemini with your work or school account previously and have Gemini Activity turned off, your Gemini Activity will be turned on when you use Gemini with the Gemini for Google Workspace add-on. The first time you sign in with the Gemini for Google Workspace add-on, if Gemini indicates that your history is off,  refresh your web page. Your Gemini Activity will be turned on and your conversation history will be retained for 18 months by default.  

  • If you delete a chat in pinned and recent chats, it also deletes the related activity from Gemini Activity. If data in Gemini Activity is deleted, then the activity won't appear in recent and pinned chats.

Turn Gemini on or off as a core service

When you buy the Gemini for Google Workspace add-on, Gemini is turned on by default as a core service. To access Gemini as a core service with their Google Workspace account, users must have a Gemini for Google Workspace license.

Tip: When Gemini is on as a core service for licensed users, you have the option to also let unlicensed users access Gemini as an additional Google service. In Step 7, select the Allow all users access to Gemini option.

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Appsand thenGoogle Workspaceand thenGemini.
  3. Click Service status.
  4. To turn a service on or off for everyone in your organization, click On for everyone or Off for everyone, and then click Save.

  5. (Optional) To turn a service on or off for an organizational unit:
    1. At the left, select the organizational unit.
    2. To change the Service status, select On or Off.
    3. Choose one:
      • If the Service status is set to Inherited and you want to keep the updated setting, even if the parent setting changes, click Override.
      • If the Service status is set to Overridden, either click Inherit to revert to the same setting as its parent, or click Save to keep the new setting, even if the parent setting changes.

  6. To turn on a service for a set of users across or within organizational units, select an access group. For details, go to Use groups to customize service access.
  7. Next to User access, select which users in your organization can access Gemini:
    • Only allow users with a Gemini Enterprise or Gemini Business license to access Gemini with Customer Data protections: When you select this option, only users with a Gemini for Google Workspace license can access Gemini as a core service. This option is selected by default.
    • Allow all users access to Gemini: When you select this option, users access Gemini as an additional Google service. When you assign Gemini for Google Workspace licenses, those users access Gemini as a core service.
  8. Click Save.

Changes can take up to 24 hours but typically happen more quickly. Learn more
