Export your organization's data

Data Export provides export functionality for Google Workspace Core Services. Note that any data users have deleted is unavailable for export, unless the data was subject to Google Vault retention policies.

If you prefer that your users download their own data, refer them to Download your data. Make sure Google Takeout is turned on.

Important: Currently the Data Export tool can't export some types of data. We recommend you review the list of unsupported data types before you start an export. 

Requirements

To use the Data Export tool, you must:

  • Have held an account in your domain for a period of 30 days or more, if your domain was created more than 30 days ago.
  • Be a super administrator of your Google domain.
  • Have 2-Step Verification (2SV) turned on and enforced on your account. This is required only for the admin performing the export. Learn how to check if 2SV is enforced on your account.

    Tip: If you need to enforce 2SV, but don't want to enforce it for all users in your organizational unit, first create a child organizational unit. Then move your account there and enforce 2SV.

  • Have fewer than 1,000 users on your Google Account. If you have more than 1,000 users, contact Google Cloud Support to temporarily enable the Data Export tool.

Export your users' data

  1. Open the Data Export tool.

    Tip: To do this from the Google Admin console: at the top right, click Open "", and under Tools, click Data Export.

  2. Click Start export.

Data export typically takes 72 hours but can take up to 14 days, depending on the size of your data export. You'll get an email to notify you when the process is complete and ready to import to an alternative service.

If you prefer that your users download their own data, refer them to Download your data. Make sure Google Takeout is turned on.

View the exported data

In your confirmation email or in the Data Export tool, click Access archive. In the archive, click the folder to see a list of user folders. Each user folder contains a zip file of that user's data. Click the zip file to download the data of a user, then unzip the file to see each user's data by product. The exported data is available for 30 days and then it's permanently deleted.

View the data export report

In the root folder of your data export archive, you'll find a report with that status of your export. You can open the report in a web browser.

If any export errors occurred, the report includes the following details:

  • User/Service  ID—Username of a user account, group name, or ID of the service account for which there were export failures. Accounts are in alphabetical order.
  • Account type—Can be one of the following:
    • User
    • Group
    • Customer-owned data—Files owned by your organization, not individual users.

      Note: The report shows some specific types of customer-owned data, such as shared drives.

    • Service account—Account that was automatically created for data without an owner, such as Google Jamboard content.
  • Archive—Links to archive files with the content owned by the user or service account.
  • Failure summary—The number of files that were exported and the number that failed to export. To see a list of files that weren't exported, click the arrow to the left of the failure summary.

 

For help obtaining files that weren't exported, contact Google Workspace support. They’ll reset the export time limit, so you can start another full export without waiting 30 days.

Questions

Can I export my users' data again? 
Yes. 30 days after your last export completes, you can start the export process again.  
Can I export data for only some of my users?

No. If you use the Data Export tool, all data is exported for all users in your domain. You can’t export certain types of data or data for only some users.

Individual users can export different types of data themselves. For details, see Download your data.

I only want to export email data. Can the Data Export tool do this?

No. You can’t specify the type of data to export with the Data Export tool. It exports all data for all users in your domain.

What data is included in my export?

Data included in your export

The Data Export tool generally exports the same data that’s available with Google Takeout for users, plus data that’s available to admins only. Here’s what’s included if you export data using the Data Export tool.

  • Calendar data

    The following customer-owned data is also included: structured resource booking information

  • Chat data

    The following customer-owned data is also included: messages and attachments for rooms created by users in your organization

  • Cloud Search data (available for admins only)
  • Drive data

    The following customer-owned data is also included: Data in shared drives

  • Gmail data

    The following customer-owned data is also included:

  • Groups data

    The following customer-owned data is also included: ownerless groups in your organization

    Note: Data created by users in consumer groups is available only to those users.

  • Keep data
  • Reminders data
  • Tasks data

    Note: Recently deleted Tasks data, including deletion timestamps, is also included.

  • Vault retained data (available for admins only)—Data in any service that users deleted but that’s subject to Vault holds or retention rules. Requires Vault licenses.

  • Voice data

    The following customer-owned data is also included:

    • Number porting orders
    • Auto Attendant settings
    • Desk phone list
    • Tax addresses
    • Tax ID
    • Phone numbers and phone number assignments
    • User license data
    • Ring groups

    Note: Recently deleted Voice data is also included.
