Manage Hangouts video calls in events

You can easily schedule and hold Hangouts video calls in Google Calendar events. Each call can have up to 25 video connections. 

Note: Administrators can choose whether video calls are automatically added to events. Learn more.

Schedule calls in events

Set up a call
  1. In Google Calendar, open an event. 
  2. If the video call is not added automatically on the Event Details tab, click Add video call next to Video call .
  3. At the top of the window, click Save.

Note: If the Video call field shows an error message, video calls might be turned off for your organization. Administrators can change this setting. Learn more.

Let guests modify calls
  1. In Google Calendar, open an event.
  2. On the Guests tab, in the Guests can section, check the Modify event box. 
  3. At the top of the window, click Save.

Guests can add, remove, or change the names of video calls.

Note: If someone outside your domain adds a video call to your event, the call is hosted on your domain. For instance, if carmen@solarmora.com creates an event and matt@cloudeasel.com adds a video call, the call is set up on solarmora.com.

Change the name of a call

You can change the name of a call to make it easy to remember. This is helpful for participants who join calls using the call name.

  1. In Google Calendar, open an event that has a video call link.
  2. Next to the link, click Edit .
  3. Change the name of the call, then click Done .
  4. At the top of the window, click Save.
Remove a call
  1. In Google Calendar, open an event.
  2. Next to the video call link, click Remove Remove.
  3. At the top of the window, click Save.

Invite and manage guests

Invite someone to a call
  1. In Google Calendar, open an event.
  2. On the Guests tab, add the email addresses of the people you want to invite.
  3. At the top of the window, click Save.
  4. In the box, click Send. Invitations are emailed to your guests. 
  5. To invite people outside your domain, add them to the guest list, or send them the link to the call.
  6. To invite people to join after a call has started:
    1. Click Invite people Invite people at the top of the video call window.
    2. Add the names or email addresses of the people you want to invite, then click Invite.

Thumbnail pictures of people who are on the call appear at the bottom of the call window.

Remove someone during a call

You can remove someone from a call while you're in a meeting. To do this, you have to be in the same domain where the call is being hosted. Participants outside the domain can't remove other participants.

  1. In a video call window, find the thumbnail picture of the person you want to remove.
  2. At the upper right of the thumbnail, click the Down arrow Down Arrow , then click Eject.
  3. In the box, click Eject to confirm that you want to remove the person.

The person is removed from the call, and they can't rejoin unless they're invited again.

Block someone from joining a call

To prevent people from joining your video calls, you can block them. If they try to join a video call you're in, they're notified that someone on the call has blocked them and they aren't allowed to join. To join a video call with someone you've blocked, first unblock them. Learn more.

Join from Google Calendar
  1. In Google Calendar, right-click an event.
  2. In the box, click Join meeting.
  3. Follow the onscreen instructions to join the meeting.

 

Join from an email invitation
  1. Open an email invitation.
  2. Click the video call link in the invitation.
  3. Follow the onscreen instructions to join the meeting.
Join from a mobile device
  1. On an Android or iOS device, open the Google Calendar app.
  2. Select an event.
  3. Tap Join Hangout next to the Video call .
  4. Follow the onscreen instructions to join the meeting.
Join using a link or call name
  • If you know the video call link: Go to the link, then click Join.
  • If you know the call's name: Go to hangouts.google.com then enter the name.
