Adoption goals & templates to transition to Meet

Getting your team to adopt a new tool can be difficult. Use these email messaging tools to support people in your organization during the transition to Google Meet.  

Step 1: Plan adoption goals & tracking

  1. Set your adoption goals and plan ahead for goal and feedback tracking. 
  2. Decide who should send the emails. 
  3. Determine if you need to designate or set up an email alias or website for internal feedback on Meet.

Step 2: Schedule messaging

We suggest the following schedule to keep up momentum and interest during the transition to Meet:

  • Email 1
  • Email 2 (the day after Email 1)
  • Email 3 (one week after Email 2)
  • Email 4 (one week after Email 3)

Step 3: Customize email templates for your organization

Copy and paste the following email templates into an editing tool, such as Google Docs. Revise them as needed to fit the voice and style of your organization. Change all parts in red. Then, send the emails following the suggested schedule to help your users get familiar with Meet.

Email 3: Learn about additional Meet features

Change your layout

Meet automatically switches between screen layouts depending on how many people are in your meeting. You can also switch to a different layout anytime. To review Meet’s layout options, go to How to view people in Google Meet.

Pin and mute

You can pin or mute yourself or others. For details, go to Pin or mute Google Meet participants

Use captions

You can make it easier to follow what’s being said in meetings by turning on captions, which display text of the live conversation. 

Live-stream a meeting

(Only with Enterprise and certain Education editions)

With Meet, you can live-stream a meeting and invite up to 100,000 people in your organization to watch it in view-only mode. Invited guests can share the live stream link and anyone in your organization can watch the streaming event.

For view-only attendees, you need to create a separate calendar event and paste the streaming link. Learn more about how to live-stream a meeting.

Add international dial-in numbers

When you create a meeting, an international dial-in number is automatically added. For details about using the dial-in feature and a list of supported countries, go to Countries where you can use a phone with Meet
