As an admin, you can tailor Gmail settings for your users, including:
- Turn on Chat and Meet in Gmail
- Manage Gmail features for users
- Control email access options for users
Before you start
- Add users and give them email addresses, following the steps in Add new users or email addresses.
- It can take up to 24 hours for settings to update. Changing many settings at once might cause message delays until all changes have taken effect.
Chat and Meet in Gmail
Turn on integrated Gmail for your users, and instruct them how to update their account settings to use Google Chat and Meet in Gmail. For details, go to Set up integrated Gmail for your organization.
Gmail features for users
Turn Gmail features on or off for users on the User settings page.
From the Admin console Home page, go to AppsGoogle WorkspaceGmailUser settings.
- To apply the setting to everyone, leave the top organizational unit selected. Otherwise, select a child organizational unit or a configuration group.
- On the User Settings page, find the setting you want to change. Below is a list of the Gmail user settings you can control.
- To finish updating the settings, click Save Changes.
Smart features and personalization—You or your users decide whether smart features in Gmail, Chat, and Meet, and personalization features in other Google products, can use data from Gmail, Chat, and Meet. You can configure these settings for users, and users can always choose their own settings. Learn more about Smart features and personalization.
Themes—Let users choose their own themes for their Gmail background.
Email Read Receipts—Let users request or return email read receipts for their messages.
Mail Delegation—Let users delegate access to their mailbox to other users in the domain. When this setting is on, users can grant access to their Gmail account by adding a delegate. Read detailed steps for setting up mail delegation for your users.
Name format—Set the name format for users. You can also let users customize their name format.
Gmail web offline—Let users make their Gmail available when they're offline. Read more about offline Gmail.
Confidential mode—Let users turn off the option to forward, copy, print, or download messages. Users can also set a message expiration date, revoke message access, and require an SMS code to open messages. Learn more about confidential mode.
Smart Compose Personalization—Let users turn on personalized suggestions for Smart Compose when they type emails. When this setting is on, users can turn personalized suggestions on or off. Learn about Smart Compose and personalized suggestions. Important: After you change this setting in the Admin console, users must close and then reopen their Gmail account to get the change.
Dynamic email—Let users view and interact with Accelerated Mobile Page (AMP) emails. AMP email messages contain dynamic and interactive content. Read more about dynamic email and how to turn it on or off for your users.
S/MIME—Turn on hosted S/MIME encryption for sending and receiving emails and allow users to upload their own certificates. Learn more about hosted S/MIME.
Email access options for users
Email access options control how your users get, send, and sync Gmail.
From the Admin console Home page, go to AppsGoogle WorkspaceGmailEnd User Access.
Tip: To see End User Access, scroll to the bottom of the Gmail page.
- In the Organizations section, highlight the parent organization or the child organizational unit where you want to change the settings.
- Scroll down the End User Access page to the setting you want to change. You can also use the Search settings text box to enter a search term to quickly find the Gmail setting that you need.
- To finish updating the settings, click Save Changes .
End user access settings
- POP and IMAP access—Turn POP and IMAP on or off for users. Read details about IMAP and POP access.
- Google Workspace Sync—Let users sync contacts, calendar, and email data with the Google Workspace Sync for Microsoft Outlook plugin.
- Automatic forwarding—Let users automatically forward incoming email to another address. Read details in Disable automatic forwarding.
- Image URL proxy whitelist (top-level org only)—Create and maintain a whitelist of internal URLs that bypasses proxy protection. Read details in Image URL proxy whitelist setting.
- Allow per-user outbound gateways—Let users send mail through an external SMTP.
- Warn for external recipients—Turn on warnings for users when they reply to an external recipient that's not in their contacts list.
