Turn Gmail delegation on or off

Your users may want to give access to their Gmail account to another person. Mail delegation allows the delegate to read, send, and delete messages on their behalf. For example, a manager can delegate Gmail access to another person in their organization, such as an administrative assistant.

As an administrator, you can choose whether or not to make this option available to your users. If the users are in different organizations, you must enable delegation for each organization. Once enabled, any user who wants to assign a delegate to access their Gmail must set up mail delegation in their Gmail account.

Turn on Gmail delegation

Before you begin: To apply the setting for certain users, put their accounts in an organizational unit.

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. From the Admin console Home page, go to Appsand thenGoogle Workspaceand thenGmailand thenUser settings.
  3. To apply the setting to everyone, leave the top organizational unit selected. Otherwise, select a child organizational unit.

  4. Next to Mail delegation, point to the setting and click Edit "" .

  5. Check the Let users delegate access to their mailbox to other users in the domain box.

  6. (Optional) To let users specify what sender information is included in delegated messages sent from their account, check the Allow users to customize this setting box.

  7. Specify what sender information is included in the email header of messages sent by delegates: 
    • Show the account owner and the delegate who sent the email—The header includes the email addresses of the Gmail account owner and the delegate.
    • Show the account owner only—The header includes the email address of the Gmail account owner only. The delegate email address is not included.
  8. Click Save. If you configured a child organizational unit, you might be able to Inherit or Override a parent organizational unit's settings.

  9. (Optional) To turn on Gmail delegation for other organizational units, repeat Steps 3—8.
