To help protect private information and reduce the risk of unauthorised access, Google Ads account admin can request that users with personal access to a company’s ads account switch to a business email.

If you’ve accepted a request to switch your account to a business email, review the Google Ads settings and properties that you’ll need to update before your old user account is closed.

Why switch to business emails

Google flags personal or unmanaged emails used to access accounts so that admin can either remove unwanted users or request that users switch to a business email. After users switch to a business email, account admin can experience benefits like single sign-on, improved visibility and increased control and security.

Example

Let’s say that you use dynamic remarketing as a part of your advertising strategy. If Google Ads account users across your company log in with their personal email, your company’s audience information and strategies may be vulnerable during and after their time with your company.

Send a request (Google Ads account admin)

Note the following information about sending a request:

  • Confirm Cloud Identity or Google Workspace and domain management. You’ll need to verify that your organisation uses Cloud Identity or Google Workspace in Google Ads, so that you can send user requests. Verification of multiple domains is allowed. If your domains aren’t managed, learn more about Cloud Identity.
  • Email preparation. Google Ads auto-generates and sends request emails on your behalf. The email will include details such as:
    • Details about the request and why it was sent
    • An outline of next steps, including a mention of the 4-week (30 day) grace period to switch domains
    • Help and support information

Instructions

  1. In your Google Ads account, open Access and security.
  2. From the top bar, open the 'Security' tab and click the security issues flagged for personal and unmanaged email addresses.
  3. On the 'Requests to switch to business managed domains' page, enter your business domain, then click Confirm.

  4. Repeat step 3 for all domains that you want to confirm. After you’ve added all of your domains, click Next.
  5. Review the table and select the user accounts that you’d like to send a request.
  6. Tick the boxes of the user accounts that need to switch to business emails. Click Send request.

  7. Click Next to review or download a list of unmanaged users, or to copy an email template. Click Done.

You’ll be notified when users provide and verify their business email addresses.


Track a request (Google Ads account admin)

After you’ve sent your request emails, you can view:
  • A list of users with personal or unmanaged emails
  • Declined requests with the user’s reason
  • Users who haven't acted on their request email

Instructions

  1. In your Google Ads account, open Access and security.
  2. From the top bar, open the 'Security' tab and click the security issues flagged for personal and unmanaged email addresses.
  3. On the 'Requests to switch to business managed domains' page, you can review:
    • Users who have declined your request
    • Users who haven’t acknowledged your request
    • Users who have completed your request

Accept a request (Google Ads users)

You have a grace period of 30 days to access your Google Ads account from your personal or business email. After the grace period, your personal email access will be removed. To ensure a smoother transition, make sure that you update the relevant account settings and properties in your new user account.

You can find the request to update your Google Ads domain in your personal email. After you’ve received your request, you can provide your business email address or decline with an explanation.

If you provide your business email address, you’ll get an email to verify your business email address.

Instructions

  1. From the email 'Request to switch to your business email address for Google Ads accounts', click Get started.
  2. In the pop-out window, enter your business email address and click Submit.
  3. Review the list of settings, then click Got it.
  4. In your business email account, find the confirmation email and follow the instructions.
Note: After your email is business-managed, you’ll need to provide credentials given by an IT admin the first time that you log into your account.

Update your Google Ads settings (Google Ads users)

The account settings and properties that you previously set up with your personal email may not be set in your new user account. In these instances, you’ll need to update specific settings like: your payments profile, linked accounts, email notification preferences, email subscription enrolment, recovery devices and 2-step verification.

What is a business email domain?

A business email domain is a list of company email domains managed in a Cloud Identity or Google Workspace account.

Who has access to this feature?

  • MCCs: Admin of top-level MCC accounts that have already adopted Cloud Identity or Google Workspace

  • Standalone accounts: Admin of accounts that have already adopted Cloud Identity or Google Workspace

Who can request a switch to a business email address?

Admins of top-level MCC accounts or standalone accounts can make requests.

Who’s excluded from the process?

The following users are excluded:
  • Users who have email-only access
  • Service account users

Can Google Ads account admin send email reminders about requests?

Yes. After sending a request, you can send up to two reminders, at least 30 days apart.

What happens if a user declines a request?

Admin can review the reasons why a user declined a request. After review, admin can archive the user or remove their access.

When do requests expire?

Requests expire after 90 days.

What happens at the end of the 30-day grace period?

After the grace period, Google’s system automatically removes users with personal email access.

How can the admin download a list of unmanaged users?

Admin can download a list of unmanaged users from the 'Review unmanaged users' section of Google Ads.

Who can admin contact to move unmanaged users to business users?

Contact the Help Desk or IT Support team to move unmanaged users to business users in Cloud Identity or Google Workspace.
