Collaborate with Gemini
You interact with Gemini in Workspace through the side panel, bottom bar in Docs, or inline while you work.
- Open Ask Gemini: To open Gemini in Workspace, look for the Ask Gemini icon
, usually found at the top right of your Workspace app.
- In Docs: Choose your format: You can work in Gemini from the side panel or the bottom bar. To switch between the two formats, click Switch to side panel
or Switch to bottom bar

- Use prompts: Tell Gemini what you want to do. In the side panel, select a suggested prompt, or write your own. See Start with a great prompt.

Ask Gemini in Chat helps you summarize conversations, find action items or followups, and translate messages.

Manage your conversation history
With Gemini in Docs, Drive, Gmail, Sheets, or Slides, you can:
- Find your conversation history
- Resume a conversation
- Rename a conversation (to improve findability)
- Delete a conversation
Find your conversation history
Important: Your conversation history does not include any interactions with the Gemini side panel that occurred before the release of this feature.
- On your computer, open a Google Workspace app, like Gmail or Docs.
- At the top right, click Ask Gemini
.
- At the top left, click More options
.
- Under "History," select a recent conversation.
- To find more conversations, click View all conversations.
Tip: Your conversations are organized by date, with the most recent at the top.

Personalize responses
Customize the responses you get from Gemini in Workspace to better fit your needs. You can add instructions to define specific preferences, such as:
- Your role: "high school teacher"
- Preferred tone: "professional but enthusiastic"
- Output format: "always summarize files in bullet points"
Important: This feature is only available in the US and in English.
Add instructions for Gemini
- To add instructions in your settings:
- On your computer, open Google Docs.
- At the top right, click Ask Gemini
.
- At the top left of the Gemini side panel, click Menu

- Click Add.
- Enter your instructions.
- Click Save.
- To add instructions when you chat with Gemini:
- When you use instructional phrases, Gemini automatically saves the instruction to your settings. For example, you can say:
- “From now on, always use short sentences in your responses.”
- “In the future, remember that I prefer summaries in a table format.”
