What are the benefits of E-invoicing through Ariba?
E-Invoicing with Ariba Network Results in Fewer Errors

Benefits of E-invoicing through Ariba Network

  • Email invoices on average take 4x longer than Ariba invoices.
  • More automated exception management
  • Decreased likelihood of invoice rejection
  • Stronger compliance (alignment with contracting and Purchase Order)
  • Supplier visibility into invoice status
Quick Tips
  • Send invoices only after Google has received the goods or services
  • Validate invoice is not future-dated and reflects the date services were rendered, not the first quote date
  • Keep your enrollment account data current in either Ariba or Embark - mismatched information between our systems and the invoice is a driver of invoice rejection
How should I process existing invoices and purchase orders after the Ariba go-live date?
All New purchase orders received through the Ariba Network after the go-live date for your region must be submitted back to Alphabet/Google through the Ariba Network. Please note that current methods for processing purchase orders and invoices will ultimately be deprecated at a future date and all business transactions with Alphabet/Google will go through the Ariba Network. For more details please go here.

Existing purchase order updates and invoices that were received via your Alphabet/Google point of contact before the go-live date for your region can continue to be processed through the current tools and methods (e.g. Google Invoice Submission Portal is fully deprecated as of May 2021). Alphabet/Google will monitor to ensure no legacy purchase orders or invoices are missed.
What changed regarding how U.S. suppliers send invoices to Alphabet / Google with the launch of Ariba?

Alphabet / Google transitioned to a source-to-pay solution from Ariba beginning on October 28, 2019. All suppliers will need to register an Ariba Network account to send invoices against new purchase orders that were received through Ariba Network. Click here for more information.

When are my invoices typically paid? How long will it take for the payment to reflect in a bank account?
The majority of invoice payments are processed per Google's standard payment terms of 60 calendar days from the date we receive a valid invoice. Please note that the actual date a credit to a bank account may appear varies per bank regulations.

If you transact with Google via the Ariba Network, you can check the status of your invoice by logging in at Ariba Network Supplier site.
Note: GIST is fully deprecated as of May 2021, please see this announcement for additional information.

Why do I see an invoice on hold?
The most common reasons an invoice may be on hold are:
  • The PO doesn't have sufficient funds to cover the invoice
  • The quantity of good received doesn't match what's on the invoice (fewer goods received than invoiced)
  • The date on the invoice is earlier than the corresponding PO's approval date
  • Manual hold placed on the invoice because the PO owner requested it
  • The invoice is waiting for the PO owner's approval
  • The invoice date is before the issuance of Purchase order
The best and quickest resolution for these issues is via working directly with the Alphabet/Google employee who ordered the goods and/or services from you.
Why was my invoice rejected in the Ariba portal?
Note: GIST is fully deprecated as of May 2021, please see this announcement for additional information.

If the country of the Bill-To entity on the PO does not allow e-invoicing:

  • Send invoices to the Mail To address specified on the PO
