As a Directory administrator, you control what profile information users can change. If allowed, users can change their name, photo, gender, birthday, or work location.
Update profile editing
Before you begin: To apply the setting for certain users: Put their accounts in an organizational unit (to set by department) or put them in a configuration group (to set for users across or within departments).Tip (If available): Try the quick link. At the top of your Admin console Home page, click Update user profile editing options and go to step 4 below.
From the Admin console Home page, go to Menu DirectoryDirectory settings.
- Click Profile editing.
- To apply the setting to everyone, leave the top organizational unit selected. Otherwise, select a child organizational unit or a configuration group.
- Check the boxes for the profile information you want to let users change. Learn more about what happens when you check or uncheck a box in the following sections.
- If you turn off editing for a profile field, confirm that you understand the implications.
- Click Save. If you configured an organizational unit or group, you might be able to Inherit or Override a parent organizational unit, or Unset a group.
Check Name to allow users to edit their profile name and nickname. The profile name and nickname are used throughout Google Workspace apps, including Gmail, Contacts, shared docs, and calendar invites. When a user edits either their profile name or nickname, it overrides the admin-set name. Only the User details page in the Google Admin console shows the admin-set name.
If you uncheck Name, user-modified names and nicknames are deleted, and names are reverted to the admin-set names.
If you uncheck Photo, only an admin can set or update a user's profile photo.
Important: Required for Currents. If you're not using Automatically create Currents profiles, make sure you enable Birthday editing to allow users to create Currents profiles.
Check Birthday to allow users to edit their birthday in their Google Account. Education edition accounts don't have this control; Education account users are never allowed to update their birthday.
Note: If a user enters a birthday indicating they're too young, their account may be disabled.
Check Work location to allow users to change their work location. Users can edit their desk location in Calendar settings. For more information, see Set up room booking suggestions.
