View Apps reports on your organization

View trends and administrative data

As your organization's administrator, you can use Apps reports to review trends or see an overview of administrative information. The reports generate a series of charts and graphs that display information for all users in your domains. To view user-level data instead, go to Check user or admin activity.

Step 1: Open your Apps report

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Reportingand thenApps Reportsand thenchoose a report.

    Requires having the Reports administrator privilege.

Step 2: Understand Apps report data

Note: Depending on which Google Workspace edition you have, you may not have access to all of the following reports.

Accounts
Report type Description
2-Step Verification enrollment and enforcement Number of users in your domains who are enrolled in 2-Step Verification, and the number of users in your domains who are required to be enrolled in 2-Step Verification.
Password length compliance Number of users in your domains who are compliant or non-compliant with password length requirements. For instructions on setting password requirements, go to Enforce and monitor users' password requirements.
Password strength Number of users in your domains who have a strong or weak password based on the password requirements set by an administrator. For instructions on setting password requirements, go to Enforce and monitor users' password requirements.
User account status

User’s account status (Active, Blocked, or Suspended)

  • A blocked user has violated the Terms of Service. Our system automatically suspends the user and marks them as Abusive. For more information, you can contact support.
  • A suspended user has an account that has been temporarily disabled by an administrator. As an administrator, you can suspend a user temporarily without deleting the domain profile or associated information, such as documents and presentations. Suspended users can't sign in until an administrator restores a suspended user.

Note: The Active user account status includes soft-deleted users.

Admin status Number of users in your domains, by their administrative access (Super Admin, Delegated Admin, or None).
Less secure apps access Number of users in your domains, by whether the user has the option to block or allow (Allowed or Denied) less secure app access to their own accounts.
Storage used by apps Storage (in MB) used by all users in your domains for Gmail, Google Drive, and Google Photos.
Total storage used Storage (in MB) used by all users in your domains.
Gmail
Report type Description
Total emails Total number of emails stored by all users in your domains
Inbound email: Delivery Total number of inbound messages (delivered, rerouted, rejected) received by your users from senders outside your organization's associated domains
Inbound email: Spam Number of inbound messages tagged as spam, shown as a fraction of total inbound messages
Inbound email: Encryption Number of inbound-encrypted messages, shown as a fraction of total inbound messages
Outbound email: Delivery Number of outbound-delivered messages (delivered, rerouted, rejected), shown as a fraction of total outbound messages
Outbound email: Encryption Number of outbound-Transport Layer Security (TLS)-encrypted messages, shown as a fraction of total outbound messages

Known issue for Gmail app reports—Messages rejected by the "default routing" rule aren't counted as rejected messages. Messages with viruses detected during SMTP MSA negotiation aren't counted as rejected messages in the app reports, but are counted as Rejected in Email Log Search.
Classroom
Report type Description
Active classes Number of classes that had activity (submissions, grades, comments, or posts) in the last 14 days.
Posts created Total number of posts created by teachers and students.
Classes created Number of classes created.
Cloud Search
Report type Description
User activity Number of active users during a specified time period (1 day, 7 days, or 30 days), query volume, and search sessions through the Cloud Search Query API listed by search applications.
Data source Number of items being served and items listed by status for Cloud Search data sources.
Drive

Metrics definitions include "added." This differs from previous metrics because it counts when "addition" events occur. Addition type events include creating a file, uploading, untrashing, or transferring ownership. This activity gets reported regardless of the final state of the item. Multiple addition events to the same file do not increment the count.

Report type Description
External shares

Number of external files shared by users in the domain with the following breakdowns:

  • Public—Files that are made publicly available
  • Anyone with link—Files made available to anyone with the link
  • Outside domain—Files shared explicitly with individuals or groups outside the domain
Internal shares

Number of internal files shared by users in your domain with the following breakdowns:

  • Anyone in domain shares—Files that are shared with anyone in the domain 
  • Anyone in domain with link shares—Files that are shared with anyone in the domain with a link
  • Within domain shares—Files that are shared explicitly with a user or group within the domain
  • Private shares—Files that aren't shared
Files added

Number of files in Drive added by users in the domain with the following breakdowns:

  • Google documents added—Number of text documents added
  • Google spreadsheets added—Number of spreadsheets added
  • Google presentations added—Number of presentations added
  • Google form added—Number of forms added
  • Google drawings added—Number of Google Drawing files added
  • Other types added—Number of non-Google files added
Active users

Total number of active Drive users in the domain, tracked daily over the most recent month. The number is incremented during the month as more users become active.

  • Click a specific date to see the cumulative number of users who accessed Drive from the beginning of the month up to that date.
  • The active user count resets on the first day of each month.
Meet
Report type Description
Active users

Number of active users during a specified time period (1 day, 7 days, or 30 days)

Note: Users are only counted once within a given time period. For example, if a user uses Meet 3 times during a 7-day period, the user is only counted once in the 7-day report.

Google Chat

Created rooms Total number of conversation rooms created by users
Active rooms Total number of conversation rooms that are active
Active users Number of users that have sent or read a message in Google Chat
Messages posted Number of messages posted in Chat by users
Voice
Report type Description
Total active users Total number of users in your domain who have used Google Voice
Total licensed users Total number of users with a Voice license
Total call duration Total number of minutes used for all Voice calls
Total outbound calls Total number of outgoing calls from Voice
Total inbound calls Total number of incoming calls to Voice
Total calls Total number of all calls, both incoming and outgoing, using Voice
Total outbound messages Total number of outgoing text messages from Voice
Total inbound messages Total number of incoming text messages to Voice
Total messages Total number of all text messages, both incoming and outgoing, using Voice

Step 3: Change the data you see in the chart

  1. Open your report as described in Step 1.
  2. At the bottom of the chart, check the data you want to see.
  3. To see data for a specific day, point at any point in the chart.

Step 4: Change the data you see in reports

  1. Open your report as previously described.
  2. Click Manage Reports.
  3. To remove data from the report, next to the data name, click .
  4. To add data to the report, next to Add new column, click the Down arrow  and select options from the list.
  5. To rearrange data, drag items to new locations.
  6. Click Save.

Step 5: Export your report data

You can export your Apps report data to a Google Sheet or as a CSV file.

  1. Open your report as described in Step 1.
  2. At the bottom of the chart, check the box next to each piece of data you want to export.
  3. In the top-right corner of the report, click Download .
  4. Select the format of the download.
  5. Click Download.

You can export up to 210,000 cells. The maximum number of rows depends on the number of columns you select.
