Let Workspace users access Gemini as an additional Google service

As an admin, you manage how people in your organization access the Gemini app with their Google Workspace account. Gemini is a form of generative AI that can help your users create content and understand complex topics. Gemini can help people in your organization be more efficient, productive, and knowledgeable.

When you turn on Gemini as an additional service, your users can access the Gemini app without a Gemini for Workspace license.

You can turn on Gemini as an additional service for everyone in your organization, specific organizational units, or specific groups. You must verify your domain before you can turn on Gemini as an additional service. 

Terms of service

Users without a Gemini for Google Workspace license who access the Gemini app as an additional service with their Google Workspace account are subject to the Google Terms of Service. When these users access the Gemini app as an additional service, their chats may be reviewed by human reviewers and used to improve Google’s products, services, and machine-learning technologies. Tell these users to avoid entering confidential or sensitive information when using Gemini.

Gemini as a core service

Gemini is also available as a core service in Google Workspace, with the Gemini for Google Workspace add-on. With Gemini as a core service, users with a Gemini for Google Workspace license access the Gemini app as a core service, and you can optionally let unlicensed users access Gemini as an additional service. When Gemini is available as a core service, it’s not available on the Additional Google services tab in your Google Admin console.

Control who uses Gemini as an additional service

Before you begin: To turn a service on or off for certain users, put their accounts in an organizational unit (to control access by department) or add them to an access group (to allow access for users across or within departments).

To turn on Gemini as an additional service for users without a Gemini for Google Workspace license: 

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Generative AI > Gemini.
  3. Click Service status.
  4. To turn a service on or off for everyone in your organization, click On for everyone or Off for everyone, and then click Save.

  5. (Optional) To turn a service on or off for an organizational unit:
    1. At the left, select the organizational unit.
    2. To change the Service status, select On or Off.
    3. Choose one:
      • If the Service status is set to Inherited and you want to keep the updated setting, even if the parent setting changes, click Override.
      • If the Service status is set to Overridden, either click Inherit to revert to the same setting as its parent, or click Save to keep the new setting, even if the parent setting changes.

  6. To turn on a service for a set of users across or within organizational units, select an access group. For details, go to Use groups to customize service access.
  7. Click User access, and confirm the Allow all users access to Gemini option is selected.

    This option is selected by default when you turn on Gemini as an additional service. With this option, users without a Gemini for Google Workspace license can access Gemini as an additional service.

    Important: Don’t select the Only allow users with a Gemini Enterprise or Gemini Business license to access Gemini with Customer Data protections option. This option requires the Gemini for Google Workspace add-on. This option prevents your users from accessing Gemini.

  8. (Optional) To let Android phones that are signed into a Google Workspace account access Gemini as an additional service, turn on Search and Assistant.
    Note: Mobile device access to Gemini isn’t currently supported for users with a Gemini for Google Workspace license who access Gemini as a core service.
  9. Click Save.
