2. Choose who can use Gemini

Assign Gemini for Google Workspace licenses

After you add Gemini for Google Workspace to your account, you need to assign licenses to users. When you assign the license to a user, they gain access to all available Gemini for Google Workspace features.

Before you begin

  • Gemini for Google Workspace works only for users who have set an English dialect as their preferred language.
  • Users must be 18 years of age or older to use Gemini for Google Workspace.
  • It may take up to 24 hours for a user’s license to be assigned.

Option 1: Assign licenses to individual users

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Directoryand thenUsers.
  3. Check the box next to each user you want to assign a license.
  4. At the top, click Assign licenses, and select the Gemini edition you purchased.
  5. Click Assign.

Option 2: Assign licenses to all users in a CSV file

Before you begin: Create a CSV (comma-separated values) file with the full email address of each user you want to assign a license. Add one address per line.

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Directoryand thenUsers.
  3. Check the box next to each user you want to assign a license.
  4. At the top, click Bulk update users.
  5. Click Attach CSV File.
  6. Select the file and click Upload.

Option 3: Assign licenses to all users in an organizational unit

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Directoryand thenUsers.
  3. Check the box next to each user you want to assign a license.
  4. On the left, select the organization you want to assign licenses to. You can also search for an organization in the search field.
  5. Check the box next to Name.
  6. At the top, click Assign licenses, and select the Gemini edition you purchased.
  7. Click Assign.

Assigning licenses to an organization only gives users in that organization a license. Users in suborganizations aren't assigned a license.

Note: You can also automatically assign licenses to new users in your organization.

Manage Gemini for Google Workspace licenses

View the users who have Gemini for Google Workspace licenses
  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Directoryand thenUsers.
  3. Click Add a filterand thenAssigned licenseand then the Gemini edition you purchased.
Remove licenses from individual users or organizational units
  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Directoryand thenUsers.
  3. To remove Gemini for Google Workspace licenses from individual users:
    1. Check the box next to each user.
    2. At the top, click Moreand thenRemove licenses.
    3. Select the Gemini edition you purchased.
    4. Click Remove.
  4. If you want to remove Gemini for Google Workspace licenses from all users in an organizational unit:
    1. At the left, click Users from select organizational units and select the organizational unit.
    2. At the top, click Moreand thenRemove licenses.
    3. Select the Gemini edition you purchased.
    4. Click Remove.

Manage user access to Gemini (gemini.google.com)

How your users access Gemini depends on whether you have the Gemini for Google Workspace add-on:

  • With the Gemini for Google Workspace add-on: When you buy the Gemini for Google Workspace add-on, Gemini is turned on by default as a core service. To let users access Gemini as a core service with their Google Workspace account, assign them a Gemini for Google Workspace license.

    Tip: When you purchase the Gemini for Google Workspace add-on, Gemini as a core service is available to licensed users. The Gemini service setting has an option to also let unlicensed users access Gemini as an additional Google service. For detailed steps, go to Turn Gemini on or off as a core service.

  • Without the Gemini for Google Workspace add-on: If you don’t have the Gemini for Google Workspace add-on, you can turn on Gemini as an additional Google service in your Google Admin console. Your users don’t need a license to access Gemini as an additional service. Note: you must verify your domain before you can use Gemini as an additional service. For detailed steps, go to Turn Gemini on or off as an additional service.
