Set your advertiser's billing preferences and view invoices

In Display & Video 360, billing profiles control how your invoices are created and sent. Admin users can manage billing profiles at either the partner or advertiser level. You can use one billing profile for multiple advertisers.

This guide will show you how to edit billing profiles in your advertiser settings, but you can also make changes in your partner settings. Be aware that any changes you make to a billing profile will affect all the advertisers using it.

You must have admin access to a Display & Video 360 partner to manage billing profiles.

How to choose a billing profile

To choose which billing profile to use, you need to know your organization name, bill-to address, tax ID, currency, and invoice options. If you don’t have this information, ask the billing contact at your company, for example, Accounts Payable or Media Buyer.

Carefully confirm your billing profile settings

Carefully review your billing profile settings and confirm they're accurate. Choosing the wrong billing profile can cause delays in billing and increase the risk of account suspension.

About default billing profiles

When Display & Video 360 was first set up for your business, the support team created a default billing profile based on the information provided. You can modify this default billing profile at any time or create new billing profiles.

Select a billing profile for a new advertiser

When you create an advertiser in Display & Video 360, you'll select a billing profile with the organization name responsible for payment and the currency to use for your invoices and payments.

  1. Find the "Billing profile" section, then click Edit . The "Select billing profile" page opens. Choose one of 2 options:

    • If you want Display & Video 360 to suggest a billing profile, select Use suggested billing profile. If the billing profile isn't correct, select Browse billing profiles to choose another one.

    • To choose from all available billing profiles, select Browse billing profiles. A list of available billing profiles opens.

  2. Carefully confirm the organization name and billing details of the profile. To review billing profile settings, click the billing profile name.

  3. Click Billing summary, find the "Settings" section, then click Manage settings.

    • In the "Payments profile" section, confirm the organization name.

    • In the "Payments account" section, confirm the bill-to address to use on invoices. Confirm the right contacts are listed after "Email invoice delivery" and "Mail invoice delivery".

  4. Click Details, then confirm the purchase order (PO) and invoice settings.

    • Check the purchase order next to "Billing Profile PO".

    • Check the invoice and fee grouping level next to "Invoice level" and "Invoice detail level".

    • Check "Invoice split level" to confirm whether platform fees and media fees are split into separate invoices.

  5. Click Apply to associate your advertiser with the billing profile.
  6. Finish filling in the rest of your new advertiser's settings, then click Create. Your advertiser is created and future invoices will be billed using the settings of the billing profile you selected.

Assign an advertiser to a different billing profile

You can change who pays for invoices by assigning your advertisers to an existing billing profile that matches your desired organization name, currency, and billing settings.

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then Edit . The list of billing profiles opens. You'll find the label "Selected" next to the billing profile that's currently in use.
  4. Select the billing profile you want to use. Carefully review the billing profile settings to confirm they are correct. Once reassigned, the advertiser's invoices will reflect the settings of the new billing profile. If you can't find the right profile, you can copy a billing profile or create a new one.
  5. Click Use for invoicing.
  6. To confirm your selection and close the billing profiles window, click Apply.
  7. Click Save. Your billing profile changes apply to all assigned advertisers. Changes take effect immediately and apply to the current month's invoice.

Edit billing profile settings to affect your future invoices

You can modify the billing profile settings at any time, but you can't change the currency or organization name.

Keep in mind that any edits you make will take effect immediately on the current month’s invoice and will apply to all assigned advertisers.

We recommend that you review the advertisers assigned to the billing profile on the Assignment tab before making any changes. To view the assignment, click the billing profile name, then click Assignments.

Change your invoice's bill-to address

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then click the name of the billing profile.
  4. Click Billing summary.
  5. Click Manage settings.
  6. Next to Bill-to-address, click Edit .
  7. Select or add a new address. The country in the address must match the country of the organization's address in the "Payments profile" section.
  8. Click Done. Your billing profile changes apply to all assigned advertisers. Changes take effect immediately and apply to the current month's invoice.

Change your invoice's PO

When you add a purchase order (PO), it appears on the first page of your invoice for every advertiser assigned to the billing profile. To change the purchase order, follow the steps below.

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then click the name of the billing profile.

  4. Next to "Billing Profile PO", enter your billing profile purchase order number.

  5. Click Done. Your billing profile changes apply to all assigned advertisers. Changes take effect immediately and apply to the current month's invoice.

Show a PO as a line-item description

If you prefer, you use naming conventions to add the purchase order (PO) as a line-item description on your invoice. Here are some example use cases:

  • Advertiser name (one PO per advertiser): Use an advertiser name for your PO number. Note: The PO will only be printed on the invoice if the invoice detail level is set to "Advertiser" or "Insertion Order”.
  • Insertion order name (one PO per Insertion order): Use the insertion order name for your PO number. Note: The PO will only be printed on the invoice if the invoice detail level is set to "Insertion Order”.
  • Budget description (one PO per budget): Use the insertion order budget's description for your PO number for each Planned budget. Note: PO will only be printed on the invoice if the invoice detail level is set at Budget level PO.

Change invoice level settings

Based on your business needs you can change your billing levels, invoice detail level, invoice split level, and itemization level. Your billing profile changes apply to all assigned advertisers. Changes take effect immediately and apply to the current month's invoice.

Invoice level

Set the invoice level to group fees into separate invoices by partner, advertiser, or insertion order.

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then click the name of the billing profile.
  4. Click Details.
  5. Select your Invoice level:
    • Partner level: Use this setting to receive one invoice per partner.
    • Advertiser level: Use this setting to receive one invoice per advertiser.
    • Campaign level: Use this setting to receive one invoice per campaign.
    • Insertion order: Use this setting to receive one invoice per insertion order.
    • Budget invoice grouping ID:Use this setting to receive one invoice per budget invoice grouping ID
  6. Click Done. Your billing profile changes apply to all assigned advertisers. Changes take effect immediately and apply to the current month's invoice.

Invoice detail level

Set the invoice detail level to group fees on each invoice by partner, advertiser, insertion order, or PO budget.

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then click the name of the billing profile.
  4. Click Details.
  5. Select your Invoice detail level:
    1. Advertiser level: Use this setting to group fees by advertiser. The invoice description field will show the partner name and ID.
    2. Campaign level: Use this setting to group fees by campaign. The invoice description field will show the partner name, partner ID, advertiser name, and advertiser ID.
    3. Insertion order: Use this setting to group fees by insertion order. The invoice description field will show the partner name, partner ID, advertiser name, advertiser ID, campaign name, campaign ID, IO name, and IO ID.
    4. Budget level PO: Use this setting to group fees by budget level PO. The invoice description field will show the partner name, partner ID, advertiser name, advertiser ID, campaign name, campaign ID, IO name, IO ID, and budget level PO.
  6. Click Done. Your billing profile changes apply to all assigned advertisers. Changes take effect immediately and apply to the current month's invoice.

Invoice split level

Set the invoice split level to split platform fees or media cost fees into a separate invoice.

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then click the name of the billing profile.
  4. Click Details.
  5. Select your Invoice split level:
    1. No split: Use this setting to receive a single invoice that consolidates all fees including media, platform, and other fees.
    2. Split out Platform fee: Use this setting to receive two invoices: one for platform fees, and then one for media fees and other fees.
    3. Split out Media fee: Use this setting to receive two invoices: one for media fees and then one for platform fees and other fees.
  6. Click Done. Your billing profile changes apply to all assigned advertisers. Changes take effect immediately and apply to the current month's invoice.

Itemization level

Set the itemization level to itemize certain fees on separate lines in your invoices.

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then click the name of the billing profile.
  4. Click Details.
  5. Select your itemization level:
    • All fees on separate lines: Display a unique line item for each fee type (platform, media, and other fees).
    • Separate media fee: Display two line items: one for media fees and one for platform and other fees.
    • Separate platform fee: Display two line items: one for platform fees and one for media and other fees.
    • Separate media and platform: Display three line items, one for media fee, one for platform fee and one for all other fees
    • All fees on a single line: Consolidate all fees into one line item.
  6. Click Done. Your billing profile changes apply to all assigned advertisers. Changes take effect immediately and apply to the current month's invoice.

Change your invoice's currency

You can't change the currency of an existing billing profile. Instead, you can move advertisers to another billing profile with the desired currency and settings. Or, you can contact billing support to create a new billing profile.

  • If another billing profile exists with the desired currency but you require different settings, you can create a new billing profile by copying the existing one with the desired currency and organization name. You can then edit other settings to fit your business needs.
  • If you don’t see any billing profiles that use the currency you need, contact billing support to create a new billing profile for you

The currency you select is used for both your invoices and payments. Note: Advertisers can only be assigned to a billing profile with a matching currency (Partner Currency, Advertiser Currency, or USD).

Change your organization name

If the official legal name of your organization has changed, please contact billing supportto update it.

Resend invoices with new settings

You can directly edit two billing profile settings and immediately update open invoices. This means you can update invoice details for invoices that have already been issued and instantly regenerate them without contacting Google support. These settings include:

  • PO displayed on the first page
  • Bill-to-address printed on your invoice

To regenerate the invoices, after changing your PO or bill-to address, follow these steps.

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then click the name of the billing profile.
  4. Click Billing summary.
  5. Click View invoices.
  6. Click an invoice. A window opens with more invoice details.
  7. At the top, click Actions, then Regenerate invoice with updated information.

Once your updated invoice is generated, check all billing profile settings for future invoices to confirm they're accurate and avoid future billing errors.

Create a new billing profile

If you need a billing profile with the same currency and organization name as an existing one, but with different settings (for example, invoice level, PO, email contacts, or bill-to address), you can copy the existing profile and edit the necessary details. Then, move the advertiser to the new profile.

Make a copy of a billing profile

Before you start, check the billing profile you want to copy and confirm the organization name, invoice currency, and bill-to country are correct. Click Billing summary, then Manage settings and find the "Payments profile" section.

  1. In the list of billing profiles, click Create copy to create a new billing profile with the same organization name.
  2. Enter an invoice name. The invoice name you use is for your own purposes, and won't appear on your actual invoices.
  3. Select your preferred invoice level options.
  4. Enter a PO number (if applicable).
  5. Click Save.

Create a new billing profile

If you need a new billing profile for a currency or organization name that does not exist in your current list of billing profiles, contact billing support.

Remove unused billing profiles

If you're no longer using a billing profile, you can remove it from the list of active profiles. A billing profile can't be deactivated if one or more advertisers is assigned to it. Before you start, move all advertisers to another active billing profile in the assignments tab.

  1. Open your advertiser, then click Advertiser settings.
  2. Click Basic details.
  3. Find the "Billing profile" section, then click the name of the billing profile.
  4. Next to the billing profile name, click the "Active" status to open the status options, then select "Inactive" to deactivate the billing profile.
  5. Click Save.

Frequently asked questions

How does Display & Video 360 handle currency conversion?

Most of the inventory purchased through Display & Video 360 is sold in US dollars (USD). If an advertiser uses a currency other than USD:
  1. Display & Video 360 converts the advertiser's currency into USD at bid time.
  2. If an impression is won, the price of the impression is immediately converted back into the advertiser's currency when the spend is recorded.    

Currency exchanges in Display & Video 360 are powered using a widely used bank feed of daily exchange rates. Google doesn't charge any fee for currency conversion in Display & Video 360.

What payment methods are available for invoices?

Payments can be made via wire transfer, check, or bank transfer. Invoices can't be paid by credit card.

Who has billing access?

Only Admin users can view and manage billing profiles.
