Get ready for the launch of SAP on May 3!

There are several important things for Alphabet/Google suppliers to know and do to be prepared for the May 3 launch of SAP:

  1. Eligible Suppliers must transition to SAP Ariba to to manage their supplier account information (only required if/when an update, like changing a bank account, needs to be completed) and to receive purchase orders and send invoices to Alphabet/Google. If suppliers are eligible for electronic invoicing and not currently using Ariba, take action (outlined below) by May 3, as Google’s legacy invoice tool is fully deprecated as of May 2021! To confirm your Ariba Network eligibility for invoicing, please review this article.
  2. There is a company-wide financial system freeze April 23-May 2 on purchasing, invoicing and payment activity (note: while supplier enrollment and account management tools will remain open, there will be no back-end processing to finalize new enrollments or updates from existing suppliers during the freeze period). Suppliers must submit valid invoices by 5pm PST April 19th to be included in our efforts to pay as many approved invoices prior to the freeze (April 23-May 2).
  3. Suppliers will receive email notifications that legacy purchase orders have been closed and replaced with new SAP purchase orders reflecting the unpaid balance of the original PO and new purchase order numbers that must be referenced when invoicing. Suppliers may receive a higher than normal volume of system-generated notifications from the Ariba Network in preparation for and immediately following the launch of SAP, after which they will resume as normal.

Background:

On May 3, 2021, Alphabet/Google will transition it’s core financial system to SAP, changing how suppliers interface with our financial processes, tools and data. For most suppliers, this means using Ariba, an SAP procurement product, for enrollment/account management and to receive POs and send invoices. It also means temporary system freezes, new POs and other impacts leading up to the May launch as data is migrated from legacy systems to SAP.
