Manage the visibility of events from Gmail

Important: Anyone with access to your Google Account on a device can find your calendar events. This includes events from Gmail. To find out which devices are using your Google Account, you can check google.com/devices.

You can automatically add events from Gmail like flights or restaurant reservations to your calendar. By default, only you can find these events, even if you share your calendar with others. Learn how you manage your events from Gmail.

When you share your calendar, you can change:

  • The default visibility of all events from Gmail.
  • The visibility of a single event from Gmail.

Learn about visibility settings

  • Calendar default or Default visibility: The event name and time are visible to anyone who can access your calendar. Those who can edit your calendar can also find additional details in the event, like confirmation numbers, flight status, or phone numbers.
  • Private: Events from Gmail are visible to you and to specific people who can make changes to your calendar. For those who can only find your calendar, any event from Gmail shows as “Busy.”
  • Public: If you share your calendar publicly, your events from Gmail are visible to anyone who finds your calendar.
  • Only me: Events from Gmail are only visible to you.

Change the default visibility of all events

Important:

  • If your calendar is public and events from Gmail are set to “Calendar default,” all Gmail events are visible.
  • To find who has access to your calendar, check your sharing settings.
  1. On your computer, open Google Calendar.
  2. At the top right, click Settings menu and then Settings.
  3. On the left, click Events from Gmail and then Privacy of email events.
  4. Select a visibility setting:
    • Calendar default
    • Private
    • Only me
  5. In the pop-up, select whether to apply the visibility to new events or all events.

Change the visibility of a single event

  1. On your computer, open Google Calendar.
  2. Open the event from Gmail.
  3. Click Edit event Edit and then Default visibility.
  4. Select a visibility setting:
    • Default visibility
    • Public
    • Private
  5. Click Save.
