Turn Gmail on or off for users

As an administrator, you can turn Gmail on or off for some or all users in your organization. People with Gmail turned on have the Gmail service in their account. If you've set up mail delivery for your domain, they can use Gmail to send mail with your organization's address.

Turn Gmail on or off for users in your organization

Before you begin: To turn a service on or off for certain users, put their accounts in an organizational unit (to control access by department) or add them to an access group (to allow access for users across or within departments).

  1. Sign in to your Google Admin console.

  3. Click Service status.
  4. To turn on or off a service for everyone in your organization, click On for everyone or Off for everyone, and then click Save.

  5. (Optional) To turn a service on or off for an organizational unit:
    1. At the left, select the organizational unit.
    2. To change the Service status, select On or Off.
    3. Choose one:
      • If the Service status is set to Inherited and you want to keep the updated setting, even if the parent setting changes, click Override.
      • If the Service status is set to Overridden, either click Inherit to revert to the same setting as its parent, or click Save to keep the new setting, even if the parent setting changes.

  6. To turn on a service for a set of users across or within organizational units, select an access group. For details, go to turn on a service for a group.

You're not done with Gmail setup yet

Turning on the Gmail service alone doesn't start mail delivery to people's Gmail accounts. First assign everyone a user account, then switch your mail delivery to Google servers.

When you turn off Gmail for your organization

To stop using your domain's business address with Gmail, redirect mail flow to the email service you do want to use. If your domain's MX records are pointing to Google servers, update the records to point to the server that should get your mail. If you turn off Gmail while MX records are still directing mail to Google servers, messages might not be delivered to recipients.

Gmail keeps messages in your users' mailboxes until your Google account is deleted. Read details about how Google user data is managed when you delete your organization's Google account.

Google Calendar—If Gmail is turned off, calendar invitations emailed from users outside your Google Workspace domain aren't automatically added to Calendar. Invitations from third-party calendar services aren't automatically added. Invitations from users in the same Google Workspace domain should continue to work.
