Review storage use across your organization

See how storage is used across individuals, shared drives, and Google Workspace services

Education customers go to the Overview of Google Workspace for Education storage.

To review storage use in your own Google Account, go here instead.

As an administrator, you can use storage management tools in your admin console to review your storage use, see your total storage limit, and set storage limits for users and shared drives.

Watch the following video for a quick demo:

Most Google Workspace editions have pooled storage, where storage is shared across users in your organization. With pooled storage, your total storage limit is the maximum amount of storage all of your users combined can use. It depends on the storage per license included with your Google Workspace edition, how many licenses your organization has, and the amount of Google Workspace Additional Storage you purchase.

For details about storage included per license, on this page see How much storage do I get per Google Workspace license? or, for Google Workspace for Education customers, see Understand storage availability and usage.

See how storage is used in your organization

  1. Sign in with an administrator account to the Google Admin console.

If you aren’t using an administrator account, you can’t access the Admin console.

  2. In the Admin console, go to Menu and then Storage.
  3. At the top, review how much Workspace storage your organization is using and your total storage limit.

    Note:

    • Users who use less than 1 MB of storage but more than 0 are reported as using 0 MB. However, their storage use is included in your organization’s total.
    • It can take up to 24 hours for changes in your organization’s storage to be reflected on this page. If your organization cleared space or bought storage and you want to see the impact sooner, with your admin account to go to https://drive.google.com/drive/quota. Near the bottom is a storage status bar for your entire organization where changes to storage are reflected within 4 hours.
  4. To see how much storage Google Drive, Google Photos, and Gmail each use, point to the services.

If you’re close to your total storage limit, learn how to free up or get more storage.

Identify high-storage users

  1. Sign in with an administrator account to the Google Admin console.

If you aren’t using an administrator account, you can’t access the Admin console.

  2. In the Admin console, go to Menu and then Storage.
  3. The Users using the most storage section gives you a summary of high-storage users.

Tip: Users who use less than 1 MB of storage but more than 0 are reported as using 0 MB. However, their storage use is included in your organization’s total.

  4. To open a list of all users ranked by storage use, click View all users.
  5. To get details of storage use by a specific user, click the user’s name.

Note: For privacy, an admin can never see a user's files through the Admin console. An admin sees only a summary of how much storage their users’ documents and files use.

You can manage how much of your pooled storage users can use. Learn how to set storage limits.
