As an administrator, you can use storage management tools in your admin console to review your storage use, see your total storage limit, and set storage limits for users and shared drives.

Managing Google Workspace storage as an admin

Most Google Workspace editions have pooled storage, where storage is shared across users in your organization. With pooled storage, your total storage limit is the maximum amount of storage all of your users combined can use. It depends on the storage per license included with your Google Workspace edition, how many licenses your organization has, and the amount of Google Workspace Additional Storage you purchase.

See how storage is used in your organization

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Storage.
  3. At the top, review how much Workspace storage your organization is using and your total storage limit.

    Note: It can take up to 24 hours for changes in your organization’s storage to be reflected on this page. If your organization cleared space or bought storage and you want to see the impact sooner, with your admin account to go to https://drive.google.com/drive/quota. Near the bottom is a storage status bar for your entire organization where changes to storage are reflected within 4 hours.

  4. To see how much storage Google Drive, Google Photos, and Gmail each use, point to the services.

Identify high-storage users

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Storage.
  3. The Users using the most storage section gives you a summary of high-storage users.
  4. To open a list of all users ranked by storage use, click View all users.
  5. To get details of storage use by a specific user, click the user’s name.

    Note: For privacy, an admin can never see a user's files through the Admin console. An admin sees only a summary of how much storage their users’ documents and files use.

Identify high-storage shared drives

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Storage.
  3. The Shared drives using the most storage section gives you a summary of high-storage shared drives.
  4. To open a list of all shared drives ranked by storage use, click View all shared drives.

What admin privileges do I need to use storage management tools?

To use all features in the storage management tools, you need the Storage administrator role, or have the privileges included with the Storage administrator role. If you have only some of the privileges, you might be able to use some storage management features.

How much storage do I get per Google Workspace license?

Google Workspace storage is shared between Google Drive, Gmail, and Google Photos. Learn how storage use is calculated.

The amount of storage for each user depends on your Google Workspace edition. Most Google Workspace editions have pooled storage. Pooled storage is indicated in the following tables as total storage or a storage amount times the number of End User licenses.

Do I see my total storage limit in the status bar on the storage management page?

Yes, the status bar shows your organization's total storage limit based on the storage included with your license purchases and Google Workspace Additional Storage add-on subscriptions.

Note the following exceptions:

  • Not all Google Workspace editions see the status bar, including Nonprofit and legacy G Suite editions.
  • If you or users in your organization purchased legacy storage subscriptions, that storage isn't included yet in the total quota shown in the storage status bar. Individual storage subscriptions are no longer available to purchase
  • It can take up to 24 hours for changes in your organization’s storage to be reflected on this page.
