Registration and Tax Questionnaire Guidance

 

In order to enroll through Ariba to transact with Google/Alphabet, you must create an account and fill out and submit both the Registration & Tax Questionnaires.

Below information will be required to create the Ariba account:

Company Name As per your certificate of incorporation
Country Where company is registered

City As per your certificate of incorporation
State As per your certificate of incorporation, choose from dropdown

Username & Password Credentials for your Ariba Account
Products & Service Categories A list of company products and services will be provided for you to select on
Ship To Service Locations A list of locations will be provided for you to select depending on where you deliver your products or services
Email orders to This can be a group email, if you wish your Purchase Orders are sent to multiple accounts. However you can change this in Ariba settings later
SAP Terms of use & Privacy Statements Checking this box means that you agree to the terms with SAP (This is not Google’s terms & conditions. Google’s Terms & conditions is located at the next part of your enrollment which is the Questionnaires)

The questions you will be asked to answer on the US tax questionnaire are very similar to those found on US Form W-9 (for US beneficiaries) and W-8 (for non-US beneficiaries). We recommend reaching out to your organization’s tax advisor for copies of these in order to expedite the process of completing this section.

A US Form W-8 is used by foreign entities and individuals to document their foreign status and (if applicable) make claims for reduced U.S. withholding tax for purposes of chapters 3, 4 and 61 of the U.S. Internal Revenue Code.

This material provided here covers electronic submission of W-8BEN (individuals) and
W-8BEN-E (entities). If you do not fall under these categories, you may directly consult a tax advisor or refer to the Forms and Instructions section of the IRS website to determine what form is appropriate for you. 

For Suppliers Registering as an Individual
  1. Logging in
    1. You will receive this notification during the enrollment as part of the tax validation process. The link provided is a one-time use only.
    2. The link from the email will take you to the login site, where you have to provide your credentials and your email address.
    3. Choose the account you’re using for logging in.
    4. If your login is successful, select your account number and click on next.
    5. If you encounter an error during login, please review our Common Issues section for help in troubleshooting.
  2. Vendor information
    1. As you have selected an individual, you will need to provide your name by separating your first and last name.
    2. Choose your tax residency if within the US or outside of the US.
      Note: If your tax residency is outside of the US as indicated by the answer to the previous question you will be asked an additional question to confirm details about any trade/business with the US if applicable.
  3. Payment type selection
    1. You will need to choose both payment types (Services and Royalties).
      You are being asked to select both service and royalty payment types because payments related to Google products can sometimes fall into multiple categories. Google will use the appropriate form only if you receive the related type of income.

      I’m a supplier who provides goods. Why don’t I see an option for goods? 
      Withholding does not apply to payments for goods.

      If you selected within the United States, the next section will be about Royalties, whereas if you selected outside the United States, the tax treaty question will prompt.

      Note that the type of royalties will depend on the location of the service.

      The next section will show you the suggested type of tax form depending on the answers you selected before.

      Note that if this is the correct tax form, select Complete Form. If this is not the form you are expecting, you can select start over to review the previous sections.

    1. You will receive this notification during the enrollment as part of the tax validation process. The link provided is a one-time use only.
    2. The link from the email will take you to the login site, where you have to provide your credentials and your email address.
    3. To proceed, use an account from the provided email address.
    4. If login is successful, select the account number to proceed on tax certification process
    5. If you encounter an error during login, please review our Common Issues section for help in troubleshooting.
  2. Vendor information

    2. Choose your tax residency.
      Note: If your tax residency is outside of the US as indicated by the answer to the previous question you will be asked an additional question to confirm details about any trade/business with the US if applicable
  3. Payment type selection
    1. You will need to choose both payment types (Services and Royalties). One Time link expired

  • This will be encountered if the link was previously used. Please contact us using the button below or reply to the initial email asking for a new generated link to access the account.
