Use a screen reader with Google Calendar

You can create and track events, send invites to others, accept or reject invitations, and more in Google Calendar using a screen reader.

Pick the best screen reader for your browser and computer:

  • Mac: Use VoiceOver in Chrome
  • Chromebook: Use ChromeVox in Chrome
  • Windows: Use JAWS or NVDA in Firefox

Optimize your settings

For Calendar to work best with a screen reader, set your calendar to Agenda View and turn on Calendar keyboard shortcuts.

  1. Open Google Calendar.
  2. Go to the top of the page.
  3. Select "Click here to enable keyboard shortcuts and set Agenda view (optimized for screen readers) as your default."

Tips for using keyboard shortcuts

  • JAWS: Turn off virtual cursor or use the JAWS pass through command JAWS + 3
  • NVDA: Switch to focus mode or use the pass through command NVDA + F2
  • Chrome VOX or VoiceOver: Don’t switch modes or use a pass through command.

Navigation tips

When you open Calendar, you’ll see today’s events. To show events on other days:

  • Select Look for more, View one day later, or View one day earlier.
  • Go to the mini calendar with your screen reader’s "Move to table" command. Then select the day you want to be first in the view area.
  • To return to showing today, press t.

Create and update events

Create an event just for you
  1. Open Google Calendar.
  2. Select Quick add.
  3. Enter what’s happening and when, like "Tomorrow 10-11 call Ana," "Every day 7am Exercise," or "Sep 21 2-4pm Draft report."
Create an event with guests or rooms

To invite people and book rooms for your events:

  1. Open Google Calendar.
  2. Select Create.
  3. Fill out the event details.
  4. Optional: Check "Repeat your recurring events" and pick how often it repeats.
  5. Select Guests or Rooms. Your work or school has to set up rooms in Calendar before you can book them.
  6. Enter the names of the rooms or guest.
  7. When you’re finished, select Done.
  8. Repeat steps 5 to 7 until you’re finished inviting people or booking guests.
  9. Optional: To choose a time that works for everyone else with a Google Account, select Suggested times.
  10. Save the event.
  11. Optional: If you want to send an email to guests, select Send.

Respond to invitations

If you get invited to an event, you'll see that event on your calendar. To reply to or change your reply an invitation:

  1. Open Google Calendar.
  2. Select an event.
  3. Select Yes, Maybe, or No.
Respond to an invite and send a note

When you respond to an invitation, you can also add a note for the person who created the event, like "I'll be 10 min late."

  1. Open Google Calendar.
  2. Open an event.
    • For events you’ve created, select the event and select Edit.
    • For events someone else made, select the event and select More details.
  3. Select Yes, Maybe, or No.
  4. Select Add a note and enter your note. (Other people that are invited to the event will be able to see what you wrote under your name.)
  5. Save the event.

Change how you’re notified of events

When you create an event, you can choose whether Calendar sends you updates by email or system notification.

  1. Open Google Calendar.
  2. Select Settings Settings and then Settings.
  3. Select Calendars.
  4. Next to your calendar's name, select Edit notifications.
  5. Choose how and when you want to be notified about different events and updates.
  6. Select Save.

Add or change notifications for existing events

  1. Open Google Calendar.
  2. Select an event.
  3. Select Edit or More details.
  4. Under"Notifications," choose how and when you want to be reminded.
    • You can pick between notification alerts or email and choose when you get the notification.
    • To add another notification method or time, select Add a notification.
    • To remove a notification, select Remove notification.
  5. Select Save.

Share your calendar

You can show when you’re available by sharing calendars with coworkers, friends, and family with a Google Account.

  1. Open Google Calendar.
  2. Select Settings Settings and then Settings.
  3. Select Calendar.
  4. Select Share this calendar.
  5. Enter the email address of someone you want to share your calendar with.
  6. Select Add person.

View other calendars

You can add other calendars to yours, like holiday lists.

  1. Open Google Calendar.
  2. Select Other calendars.
  3. Find the calendar you want to view or hide and turn it on or off.

Identify which calendar an event is in

To find out who created an event or whose calendar the event is on:

  • Use arrow keys in virtual cursor off or focus mode. You’ll hear information as you highlight calendars, such as the calendar’s name.
  • Expand an event and listen to the name of the calendar in the event details.

Delete an event

If you can’t attend an event or don’t want it on your calendar, you can delete it.

  1. Open Google Calendar.
  2. Select an event.
    • If Calendar keyboard shortcuts are on, press Backspace.
    • Select Delete.
    • Open the event, then select Delete.

Restore deleted events

If you deleted an event by mistake, you can view or restore it for 30 days after deleting them.

  1. Open Google Calendar.
  2. Select Settings Settings and then Settings.
  3. Select Calendars.
  4. Select the calendar that the events were on. Make sure you have permission to change events.
  5. Select Trash.
  6. Optional: Check the checkbox for the event or events you want to restore, then select Restore selected events.
