Invite people to your event

You can add anyone with an email address to your event, even if they don't have Google Calendar.

Add people to your event

  1. Open an event or create a new one.
  2. On mobile, scroll down and touch Invite people.
    On a computer, find the Add guests section on the right.
  3. Start typing the name of the person and choose a result from your contacts. You can also type an email address to invite people who aren't in your contacts list.
  4. When you're done editing your event, select Save.

When you save your event, an email invitation will be sent to your guests.

More options for inviting guests

Invite people who don't use Google Calendar

You can invite people who don't use Google Calendar to your event. Just follow the steps above and invite the person using their email address.

Your guests will receive an email invitation. They can let you know if they are going by clicking the Yes, No, or Maybe links in the email.

Invite people using Google Groups

You can invite a Google Group to your event instead of inviting people one by one. Just follow the steps above and add the email address for the group. Learn more about inviting groups to your event.

Use the "Find a time" tab

If the other guests have shared their calendar with you, you can use the "Find a time" feature to schedule an event at a time that works for everyone. 

Note: The "Find a time" feature is only available while using a computer, not the mobile apps.

  1. On a computer, open Google Calendar.
  2. Create a new event or open an existing event (you may need to click Edit event first).
  3. Click the Find a time tab. If the other guests' calendars are shared with you, you'll see their schedules.
  4. Find a time. Use the arrows at the top to navigate between days.
  5. Once you've found a time, click the area within the calendar grid. The time will update at the top of the page.
  6. Finish editing the event and click Save at the top.

Keep in mind that you can only edit the event if you created the event yourself, or the event organizer gave guests permission to modify the event.

All-day events: All-day events are shown at the top of the calendar grid. If a guest has an all-day event, they will appear available in the "Find a time" tab unless their event is set to show as "Busy." To schedule an all-day event, click the Week button and then click the area at the top of a day column.

Too many guests to compare at once? You can compare up to 20 schedules at once. You can choose which schedules you see by clicking a guest's name on the right to show or hide their calendar.

Don't see a guest's schedule? To use the "Find a time" feature, guests need to share their calendar with you.

Control what guests can view or change

Let guests edit the event

You can let your guests make changes to an event, like changing the time or canceling the event. By default, guests can't modify the event.

Note: You can only change this option while on a computer.

  1. On a computer, open Google Calendar.
  2. Open the event details page (you may need to click Edit event first).
  3. On the right, check the box for modify event.
Choose whether guests can invite others

By default, guests can add other people to an event. You can change the event's settings so that guests can't invite other people.

Note: You can only change this option while on a computer.

  1. On a computer, open Google Calendar.

  3. On the right, uncheck the box for invite others.
Don't let guests see guest list

By default, guests can see who is invited to an event. You can change the event's settings so that guests can't see the guest list.

Note: You can only change this option while on a computer.

  1. On a computer, open Google Calendar.
  2. Open the event details page (you may need to click Edit event first).
  3. On the right, uncheck the box for see guest list.

Important: If you edit a Google Calendar event using a non-Google calendar application, the setting to hide the guest list could be removed. In that case, the guest list would be visible to all guests of the event.

Track responses to your event

When guests receive your invitation email, they can respond using the Yes, No, or Maybe links in the email.

To see who responded to your event:

  1. On mobile, open the event. On a computer, click the event and then Edit event.
  2. In the "Guests" section, you'll see your guest list organized by how your guests responded.

Troubleshooting

Guest limit for invitations

You can invite up to 200 people to each event.

If you need to invite more people, you can invite people using Google Groups. With Groups, you can invite up to 10,000 people for one-time events and 5,000 people for recurring events. Learn more about inviting groups to your event.

Invitation not received

If a guest says that they didn't receive an invitation for your event, here are a few things you can try:

  • Try removing the guest from the event and adding them again. This should resend the invitation.
  • Ask the guest to check the spam folder in their email.
  • Ask the guest to make sure that they didn't turn off email notifications for new events. If they use Google Calendar, ask the guest to check their email notifications while on a computer.
