[GA4] Assign users to report collections for Google Analytics 360

 This feature is only available for Google Analytics 360 properties.

As an administrator of a Google Analytics 360 property, you can assign users or groups of users to report collections, enabling you to customize your report collections to different user bases. For example, you can surface marketing reports to the marketing team, product reports to the product team, and high-level executive summaries to the CEO.

Permissions

Administrators of a Google Analytics 360 property can assign users or groups to report collections, and view and manage the users or groups assigned to report collections.

Editors of a Google Analytic 360 property can create report collections, which are assigned to all users by default. Editors can't change the assigned users or groups, and they can't view the users or groups assigned to each collection. Editors also can't change the assignment of a collection that has been shared to a subset of users or groups by a property Admin.

Assign and remove users or groups from report collections

As an administrator, you can assign users or Google Marketing Platform (GMP) groups to report collections. Subproperties and roll-up properties do not inherit report collection assignments. Users are unassigned from report collections when you unpublish the report collections.

  1. Sign in to Google Analytics.
  2. In the left navigation, click Reports, then click Library on the bottom left.
  3. In the Collections section, find the report collection you want to edit.
  4. In the top right of the report collection card, click More > Edit users.
  5. In the the top right, click Choose users. By default, the collection is assigned to all users.
  6. Select each user or group you want to assign to the collection, or deselect users or groups to remove them from the collection.
  7. Click Preview to view the users and/or groups that you've assigned to the collection.
  8. Click Publish to publish the collection to only the selected users and groups.

Results

When you assign a report collection to specific users and/or groups, their images appear in the bottom left corner of the collection card and the collection card indicates "Published".

When you assign a report collection to all users, the "All users" icon appears in the bottom left corner of the collection card and the collection card indicates "Published to all".

Limits

You can assign up to 7 published report collections to each Google Analytics user.
