Chat

In Chat, you can send a direct message to individuals or groups. Direct messages are private conversations between you and other people. Once you create a direct message, you can't add people, so the conversation remains private.
 

Send a direct message

You can send a direct message in Chat to one or more people in your business, work, or school or to someone outside of your organization. However, you can't include external people in a group message. (To chat with external guests in a group, create a room).

Send a direct message to a person

  1. Open the Chat app "" or Gmail app "".
  2. At the bottom, tap Chat "".
  3. Tap a name, enter a message, and tap Send "".
  4. If the name isn’t there, tap Add "" or New chat.
  5. Enter a name or email address. Suggestions appear as you enter text. 
    To send a direct message to someone outside of your organization, enter their full email address.
  6. Enter your message and tap Send ""
    Suggestions include everyone in your organization, even if they don't have Chat.

Send a direct message to a group

  1. Open the Chat app "" or Gmail app "".
  2. At the bottom, tap Chat "".
  3. Tap a group and enter a message and then tap Send "".
  4.  If the group name isn’t there, enter the name of a group member you want to add. Enter a name or email address. Suggestions appear as you type. 
  5. Tap Done "".
  6. Enter your message and then tap Send "".
    Suggestions include everyone in your organization, even if they don't have Chat.

Note: To hide a direct message to a group, tap More ""and thenHide conversation Remove.

Additional options

You can add these options to your message:

  • Tap  and a person's name to mention a person or add them to the conversation.
  • Tap Pick photo "" to add a photo to the message.
  • Tap Take photo "" to take a picture and add it to the message.
  • Tap Google Drive "" to add a Drive file.
  • Tap Add video meeting "" to start a video call.
  • Tap Calendar Add event to schedule a calendar meeting.
Edit conversations

You can edit text in your conversation or add an emoji.

You can add these options to your message:

  • Tap  and a person's name to mention a person or add them to the conversation.
  • Tap Pick photo "" to add a photo to the message.
  • Tap Take photo "" to take a picture and add it to the message.
  • Tap Google Drive "" to add a Drive file.
  • Tap Add video meeting "" to start a video call.
  • Tap Calendar Add event to schedule a calendar meeting.
Create a room

With Chat, you can meet and brainstorm ideas with your team in rooms. Chat with your co-workers, share files and other online resources, and work together on team projects.

You can chat in a room with people outside your organization if they have a Google Workspace or personal Google (Gmail) Account. Guests from outside your organization are labelled as external, and the room must be designated as external when you create it. If you created a room for people within your organization only, you won't be able to add external guests later. 

Conversations are organized into different conversation threads in rooms, so you and your team can discuss multiple subjects at the same time.

Create a chat room from Chat or Gmail

  1. Open the Chat app "" or the Gmail app .
  2. At the bottom, tap Rooms "" or Rooms and then New room "" and then Create a room.
  3. Enter a room name.
  4. Optional: To add a room avatar, above the room name, tap Add "" and select an emoji. If you don't select one, a default avatar is used.
  5. Optional: To allow threaded replies, turn on Use threaded replies.
    Important:
    • You can’t change this setting.
    • You can only create threaded rooms if you use a Google Workspace account.
  6. Optional: To let external people join a room, turn on Allow people outside your organization to join. You may not have this option if your administrator doesn’t allow it.
    Important:
    • You can't change this setting.
    • The option to create rooms that allow guests is only available on Google Workspace accounts.
  7. Tap Next.
  8. Enter names of people, email addresses, and bots you want to add. If you use Google Workspace, suggestions include everyone in your organization, even those who don't have Google Chat.
  9. Tap Done.

Turn a group chat into a chat room

If you created a group chat, you can turn it into a chat room. When you use a chat room, you can name the room, share files, and assign tasks with other people in the room.

  1. Open Gmailor Google Chat.
  2. At the bottom, tap Chat .
  3. Find and tap the group chat you want to change to a room.
  4. Next to the group chat name at the top, tap Options and then and then Turn this chat into a room .
  5. Add a room name. To add an optional room icon, tap the "" sign.
  6. Tap Done. A notification confirms that your chat is now a room, and notifies members in the group of the change.

After you make the change, you can find chat, files, and tasks tabs in your chat room.

Tip: You can add and remove people from a room at any time.

If you can’t find the “Rooms” icon in the Gmail app

  1. At the top left, navigate to Menu Menu and then Settings Settings.
  2. Choose a Gmail account. 
  3. UnderGeneral,” turn on Chat.
Tip: If you use a Google Workspace account and can’t find the “Rooms” icon or “Settings” option to turn on Chat, your administrator hasn't enabled Chat in the Gmail app.
Add or remove people in a room

Individuals are added to rooms automatically, whereas groups have the option to join a room. You can add up to 8,000 people to a room.

You can add people to a room in 2 ways:

  • Invite people to a room—Invite people to join a room by email.
  • Mention someone in a conversation—Enter @johns to automatically add them to the room.

If you @mention someone in a conversation, for example, @cassy, they're immediately added to the room. They can join the discussion, view the room in their room list, and receive notifications for the room.

Invite people to a room

  1. Open the Chat "" or Gmail app "".
  2. At the bottom, tap Rooms "" or ""
  3. Tap a room.
  4. At the top, tap the room nameand thenAdd people & bots.
  5. Enter a name, group, or email address or select from the suggestions.
    If you have Directory turned on, suggestions include everyone in your organization, even if they don't have Chat.
    If the room allows external participants, you must enter the full email address for each external person. You can't add a group in Google Groups that was created by an external organization.
  6. Tap Done "".

See members of a room

  1. Open the Chat "" or Gmail app "".
  2. At the bottom, tap Rooms "" or "".
  3. Select a room.
  4. At the top, tap the room name.
    The names of room members appear under Members.
  5. (Optional) To add more members to the room, tap Add people & bots.
Join or leave a room

If you are no longer interested in a room, you can leave it. When you leave a room:

  • Your content stays unless you delete it.
  • You won't get any notifications from the room except for @mentions.
  • No one in the room is notified that you have left.

Join a room from Gmail or Chat 

  1. Open the Chat app "" or Gmail app "".
  2. At the bottom, tap Rooms "" or Rooms.
  3. Tap New room and then Browse rooms. The rooms that you're invited to appear at the top of the list. To find a room, enter its name.
  4. (Optional) To preview a room, tap the room name. When you preview a room, you can read messages, but you can't participate in the discussion or get notifications.
  5. Tap Add "", or in the preview, tap Join.  

Tip: Touch and hold a conversation for more options.

Leave a room

  1. Open the Chat app "" or Gmail app "".
  2. On the bottom, tap Rooms "" or Rooms.
  3. Open the room that you want to leave.
  4. On the top, tap the name of the room.
  5. Tap Leaveand thenLeave room.

Rejoin a room

  1. Open the Chat app "" or Gmail app "".
  2. On the bottom, tap Rooms "" or Rooms.
  3. At the bottom right, tap New Roomand thenBrowse rooms.
  4. Enter the room name.
  5. Tap Join.
Start multiple conversations in a room

If you’re collaborating on a large project with your team, you might need to chat about different topics. Having multiple ongoing conversations helps everyone share information and ideas faster.

Start a different conversation in a room:

  1. Open the Chat app "" or Gmail app "".
  2. On the bottom, tap Rooms "" or Rooms.
  3. Select a suggested room or search for another room.
  4. On the bottom, tap New thread.
  5. Enter the message.
  6. Tap Send "".
Block a room

If you find a room abusive in Google Chat, you can block and report the room. For more details, see Block a room.

Block a room

Important: You can only report rooms as spam or abuse that include external members.
  1. Open the Chat app "" or Gmail app "".
  2. At the bottom, tap Rooms "" or Rooms.
  3. Tap the room name and then Tap the room name again and then Block room and then Block.

Optional: To report this room as spam or abuse, check the box next to Report this room as spam or abuse.

Unblock a room

  1. Open the Chat app "" or Gmail app "".
  2. Choose an option:
    • In Chat, tap Menu ""and then Settings "".
    • In Gmail, tap  Menu ""and then  Settings ""  and then Tap the account you use for Chat.
  3. Tap Manage blocked rooms.
  4. Next to the room you want to unblock, tap Unblock ""

Tip: When you unblock a room, it becomes browsable. You can search for it in “Browse rooms."

Block a room marked as spam

  1. Open the Chat app "" or Gmail app "".
  2. At the bottom right, tap Rooms "" or Rooms and then New room and then Browse rooms and then More options "" and then Spam invites.
  3. To preview a room marked as spam, tap the room.
    Tip: For your protection, you can't download links or view images when you preview the room.
  4. Tap Block.

Optional: To report this room as spam or abuse, check the box next to Report this room as spam or abuse.

Join a room marked as spam

  1. Open the Chat app "" or Gmail app "".
  2. At the bottom right, tap Rooms "" or Rooms and then New room and then Browse rooms and then More options "" and then Spam invites.
  3. To preview a room marked as spam, tap the room.
    Tip: For your protection, you can't download links or view images when you preview the room.
  4. Tap Accept.

Tip: When you join a room marked as spam, the spam label is removed and the room is added to your list of joined rooms.

Inactivate a room

While you can't delete a room, you can ask its participants to leave and indicate that the room is no longer used. If you’re the room owner, update its name. For example, add No longer used to it. Or, reply to the last conversation in the room with Final Conversation. This room is no longer active.
