When you use Gemini in Workspace, you might find that it can’t respond to some of your requests because of restrictions on what Workspace data it can access. Both your administrator and content owners can control data access, preventing Gemini from using it to generate a response.
Admin controls
Your Google Workspace administrator can restrict your access to Gemini and its features. An administrator can use security settings to restrict the following:
- Your access to Gemini entirely. In this case, you can’t chat with Gemini or invoke agents from any Gemini chat.
- Access to some or all Google Workspace data by Gemini. In this case, you can use all Gemini features, including agents, but they can’t use the Google Workspace data your account can access, including Google Drive files and Gmail messages.
- Sharing Gemini app conversations. In this case, any one who has the link to your chat will see an error message when they try to open it.

Content owner controls
Gemini has the same access to Workspace data as you do. For example, it can only access files in Drive that have been shared with you and Calendar events that you can view. Some apps may include additional limits, such as the following:
- Drive files: If a Drive file’s owner doesn’t allow you to download, copy, and print the file, Gemini can’t access it even if it’s shared with you. Learn more about sharing settings
