Set up comprehensive mail storage

As a G Suite administrator, you can ensure that a copy of all sent or received messages in your domain—including messages sent or received by non-Gmail mailboxes—is stored in the associated users' Gmail mailboxes.

Message Center deprecation: Message Center is a web console where Gmail users view and manage spam email messages. Starting October 2019, Message Center and Quarantine Summary will be deprecated. Until deprecation is complete, these features might be available for some G Suite users. At some point after October, Message Center will no longer be available and new Quarantine Summary emails will no longer be delivered. You won’t receive a notice before this happens. We recommend that administrators start using the spam management methods described in Manage Spam Messages.

Comprehensive mail storage and Vault

If your organization uses Vault, you may want to set up comprehensive mail storage to ensure Vault has full access to your organization's email messages:

  • Users can send email messages with other core services for G Suite besides Gmail. For example:
    • Calendar—outgoing invitations and messages sent with the Email guests option in desktop Calendar.
    • Drive—message content sent when users share files in Drive.
    • Google Docs, Sheets, Slides, and Drawings—messages sent by the app when users email files as attachments.
    • Forms—email messages containing forms or links to forms.
    • Keep—email messages sent when users share notes in Keep.

    Comprehensive mail storage ensures messages sent by other core services appear in users' sent folders and are therefore accessible to Vault.

    Note: Comprehensive mail storage applies only to core G Suite services. Additional Google services may be able to send email messages on behalf of users. Messages sent by those services might not be stored in users' sent folder and might be unavailable to Vault.

    Additionally, this setting may cause some accounts to exceed their storage limits in organizations that have G Suite Basic.

  • For organizations that reroute messages to non-Gmail email servers, you can set up comprehensive mail storage to ensure that all messages are stored in Gmail mailboxes and are available to Vault.
  • You can also set this up if you have a non-Gmail system that uses the SMTP relay service to route messages on behalf of your users—for example, for ticket tracking systems, bug databases, or automated notification systems—and you want to display the messages in your users' Gmail mailboxes. This is critical for storing messages in Google Vault for all users who enable SMTP relay.

Set up comprehensive mail storage

Note: When comprehensive mail storage is turned on, the entry SYSTEM_OF_RECORD is included in the Email Log search report.

    • For organizations that reroute messages to non-Gmail email servers, you can set up comprehensive mail storage to ensure that messages are stored in Gmail mailboxes for Google Vault archiving purposes.
    • You can also set this up if you have a non-Gmail system that uses the SMTP relay service to route messages on behalf of your users—for example, for ticket tracking systems, bug databases, or automated notification systems—and you want to display the messages in your users’ Gmail mailboxes. This is critical for storing messages in Google Vault for all users who enable SMTP relay.
    1. Sign in to your Google Admin console.

      Sign in using your administrator account (does not end in @gmail.com).

    2. From the Admin console Home page, go to Appsand thenG Suiteand thenGmailand thenAdvanced settings.

      Tip: To see Advanced settings, scroll to the bottom of the Gmail page.

    3. On the left, select an organization.
    4. Scroll to the Comprehensive mail storage setting.
    5. Check the Ensure that a copy of all sent or received mail is stored in associated users' mailboxes box.
    6. At the bottom, click Save.
