    G Suite Migration for Microsoft Exchange

    Technical considerations

    Can I run multiple instances of GSMME on a single client machine?

    No. There's a single location for configuration files. If you run multiple instances of GSMME on a single client, those instances overwrite each other's configuration files. If you want to increase the number of users migrated by a client machine, increase the number of users processed. See the GSMME Administration Guide

    Can I run multiple instances of GSMME on separate virtual machines on a single physical client machine?

    You can, but it isn't recommended. If the client machine can run multiple virtual machines, then we recommend that you take advantage of that machine. Run one instance of the client and increase the number of users that are processed simultaneously.

    Can multiple instances of GSMME reference the same list of users?

    No. Each instance has to reference a unique list of users. If you reference the same list of users, the users' data becomes corrupt.

    What protocol does GSMME use to communicate with Exchange Server? Does it use Exchange Web Services?

    GSMME uses MAPI. See How does a GSMME migration work

    Do I have to open a specific port in my firewall?

    No. You only need to open HTTPS and ensure that Google IP addresses aren't blocked. 

    Can GSMME work with a proxy?

    GSMME follows the proxy configuration defined in Microsoft® Internet Explorer® and uses those settings for all network connections to Google. Authenticated proxies aren't supported by GSMME.

    Although GSMME supports proxy connections, you might need to enable a direct connection to make sure issues aren't caused by the proxy server. Because the proxy configuration depends on your local setup, Google Cloud Support won't be able to assist you with this configuration. Contact your network administrator if you encounter any proxy issues.

    Set up

    Before I use GSMME, do I need to create my user accounts in G Suite?

    Yes. Create all user accounts in G Suite before running a migration. 

    See Migrate data from Exchange using GSMME or Migrate mail from Google Accounts or IMAP servers.

    Do my MX records need to point to G Suite before I run GSMME?

    No. You don't need to change your MX records.

    When I create the CSV file of users to migrate, do I supply passwords for each user?

    No. Only include usernames. See Create a control file.

    Is any special formatting  for the CSV file of users to migrate? Do I have to build the CSV file manually?

    If the file meets the format requirements, you can use an automated CSV file. See Create a control file

    Configuration

    Do I have to do anything in G Suite before I run GSMME? When I elect to "Estimate the number of contacts, calendar events, and emails to migrate," does GSMME actually move that data?

    No. GSMME checks the data you have specified for migration to estimate migration time.

    Migration

    Are my users impacted in any way when I run a migration?

    Other than having their email, contact, and calendar data available in G Suite rather than your legacy server, your users aren't impacted by a migration.

    Can I schedule when the migration runs?

    Yes. Use the command line version of GSMME and run it as a Windows scheduled task. See Run GSMME from the command line

    Can I continue to use Exchange during a migration?

    Yes.

    Can I use GSMME to migrate local PST files? Can I use GSMME to migrate from an IMAP-compatible server? Can I use GSMME along with G Suite Migration for Microsoft Outlook to migrate data?

    Yes. GSMME is designed to migrate data for multiple users from an Exchange server to G Suite. It's implemented from the server side. G Suite Migration for Microsoft Outlook migrates data for only a single user. It's implemented from the client side.

    If you migrate data from the server side and the client side, users could end up with duplicate data.

    Is running a test migration recommended?

    Yes. See the "Test" section in the Deployment chapter of the GSMME Administration Guide.

    Post-migration

    Can I continue to use Outlook as a client for Gmail after I migrate from Exchange?

    Yes. You can use G Suite Sync for Microsoft Outlook (GSSMO) for this purpose.

    Can my users get information about using G Suite Sync for Microsoft Outlook?

    Yes. See the GSSMO Help Center

    After a migration, can I stop using my Exchange server?

    Yes. After you migrate your data and set up your mail flow to G Suite, you can stop using your Exchange server.

    Can I use GSMME to continually sync data between Exchange and G Suite?

    No. GSMME is designed to migrate data from Exchange to G Suite. It isn't designed for synchronization. 

    If my users want to use Outlook after migration, do they need to make any configuration changes?

    Yes. When they open the G Suite Migration for Microsoft Outlook tool, they’ll create a new profile that points their Outlook account to Gmail. No other configuration is necessary.

    After migration, can I use Thunderbird to display G Suite data? After migration, can I use the Entourage email and calendar client?

    Yes, but it isn't a supported client. See Read Gmail messages on other email clients using IMAP.

    Do I have to move my MX records to Google, or can I use a third-party gateway?

    No. You can use a third-party gateway for email delivery.

    Passwords

    Does GSMME synchronize Active Directory passwords to G Suite?

    No.

    Email

    Do users get details about the messages that didn't migrate?

    No, but administrators can. See "Viewing migration reports" in the GSMME Administration Guide.

    If we have years of email in an on-site archive, can it be migrated to G Suite?

    Yes. The archived messages must be moved to Exchange and then migrated.

    Are messages in subfolders migrated?

    Yes. In Gmail, the corresponding labels are separated by a slash character to indicate the folder hierarchy.

    If I move a message from one Exchange folder to another, and then run a migration, does the message get migrated again?

    If you choose the Migrate all data option, then the message is migrated again. It's displayed in Gmail with a new label that corresponds to the new Exchange folder.

    Are multiple flags on an Exchange message mapped to multiple stars in Gmail?

    No. Any flags on an Exchange message are mapped as a single star in Gmail.

    Are Outlook filters and rules migrated to Gmail?

    No, but your users can create new rules in Gmail. See Create rules to filter your emails

    Is there a limit on the size of a message that can be migrated?

    Yes. The limit for a message plus any attachments is 25 MB.

    Is there a way to automatically have the From address in Gmail be different from the username specified in the CSV file?

    No.

    Should I use a different migration option if I want to use Gmail instead Outlook or vice versa?

    No. After data is migrated to G Suite, you can use Gmail or Outlook. You can use GSMME to migrate data for multiple users directly from your Exchange server to G Suite. Or, you can let individual users migrate Exchange data and local PST files with G Suite Migration for Microsoft Outlook (GSMMO).

    Should users who use Outlook after migration disable read receipts?

    Yes. Outlook can automatically send read receipts for the synchronized messages, which results in unnecessary non-delivery reports. Disabling read receipts in Outlook will prevent read receipts being sent automatically. 

    Is email cached locally for users who choose to use Outlook?

    Yes. Users can continue to work in Outlook when an Internet connection is unavailable. Data is synced between Outlook and G Suite when the internet connection is restored.

    Can I archive messages with G Suite?

    Yes. You can use Google Vault, which includes email archiving.

    Calendar

    When a calendar event is migrated, is all the attendee information migrated? If so, does it migrate to the correct G Suite account?

    Yes.

    If a  calendar event has multiple attendees and I update the meeting after a migration, are all attendees notified?

    Yes.

    Are calendars in Public Folders migrated?

    No.

    Are group calendars and resource calendars migrated?

    No. You need to recreate those in G Suite.

    Contacts

    Is my Global Address List migrated?

    No. You can use Google Cloud Directory Sync or GAL Generator, which is available with G Suite Sync for Microsoft Outlook (GSSMO).

    How is my Global Address List available to users after migration?

    The addresses should appear in Gmail when a contact name or email is entered in the To, Cc, or Bcc fields. 

    Are mailing lists migrated?

    No. You can use Google Cloud Directory Sync to migrate mailing lists to Google Groups.

    Interoperability

    Does GSMME migrate data from BPOS and Exchange Online?

    If you have administrator rights to the mailboxes on your hosted Exchange server, you can use the "Outlook Profile" option in GSMME to migrate data. See the GSMME Administration Guide for details.

    Can I sync data between G suite and my on-premise Exchange server?

    No, but you can set up delivery so that messages are sent to G Suite and Exchange.

    Is there any G Suite equivalent to Mail-enabled Public Folders?

    Yes. You can use Google Groups and allow users to send messages to a group. You can also create calendars to share with a group.

    Can I use Exchange and G Suite over the long term?

    Maybe. You can route incoming messages to Gmail or another external server based on user settings. Then, you can use Calendar Interop to share free and busy information between Exchange and G Suite. Consult with your deployment specialist to find out if this is the best approach for your organization.

    Can I migrate just the last 2 weeks of my users' email and then move anything older than that to a G Suite archive?

    Possibly. If you want to archive existing messages, contact your G Suite sales representative to inquire about that service.

    Folders and labels

    Is the folder-to-label conversion limited to 40 characters?

    No. We have successfully tested conversions with up to 226 characters.

    Are empty folders mapped to Gmail labels?

    No. Empty folders aren't migrated. And, the corresponding labels aren't created.

    Are email messages in subfolders migrated?

    Yes. The corresponding labels in Gmail indicate the folder hierarchy by inserting slash characters in the label names.

    If I move a message from one Exchange folder to another, and then run a migration, does the message get migrated again?

    If you choose the Migrate all data option, then the message is migrated again. It's displayed in Gmail with a new label that corresponds to the new Exchange folder.
