Assign Gemini for Google Workspace licenses
After you add Gemini for Google Workspace to your account, you need to assign licenses to users.
Before you begin
- A user's preferred language affects Gemini for Google Workspace availability:
- All Gemini for Google Workspace features are available to users who have set their language to English. Additionally, Gemini in Gmail and Google Docs now accepts Spanish and Portuguese prompts and will respond in those languages.
- Gemini in Gmail and Google Docs is also available to users who have set their language to Spanish or Portuguese. However, they can't use Gemini in Sheets, Slides, and Meet.
- Gemini for Google Workspace is unavailable to users under age 18. Do not assign licenses to these users.
- It may take up to 24 hours for a user’s license to be assigned.
Option 1: Assign licenses to individual users

Sign in to your Google Admin console.
Sign in using your administrator account (does not end in @gmail.com).

In the Admin console, go to Menu DirectoryUsers.
- Check the box next to each user you want to assign a license.
- At the top, click Assign licenses, and select the Gemini edition you purchased.
- Click Assign.
Option 2: Assign licenses to all users in a CSV file
Before you begin: Create a CSV (comma-separated values) file with the full email address of each user you want to assign a license. Add one address per line.

Sign in to your Google Admin console.
Sign in using your administrator account (does not end in @gmail.com).

In the Admin console, go to Menu DirectoryUsers.
- Check the box next to each user you want to assign a license.
- At the top, click Bulk update users.
- Click Attach CSV File.
- Select the file and click Upload.
Option 3: Assign licenses to all users in an organizational unit

Sign in to your Google Admin console.
Sign in using your administrator account (does not end in @gmail.com).

In the Admin console, go to Menu DirectoryUsers.
- Check the box next to each user you want to assign a license.
- On the left, select the organization you want to assign licenses to. You can also search for an organization in the search field.
- Check the box next to Name.
- At the top, click Assign licenses, and select the Gemini edition you purchased.
- Click Assign.
Assigning licenses to an organization only gives users in that organization a license. Users in suborganizations aren't assigned a license.
Note: You can also automatically assign licenses to new users in your organization.
Manage Gemini for Google Workspace licenses

- Click Add a filterLicenses assigned the Gemini edition you purchased.

- To remove Gemini for Google Workspace licenses from individual users:
- Check the box next to each user.
- At the top, click MoreRemove licenses.
- Select the Gemini edition you purchased.
- Click Remove.
- If you want to remove Gemini for Google Workspace licenses from all users in an organizational unit:
- At the left, click Users from select organizational units and select the organizational unit.
- At the top, click MoreRemove licenses.
- Select the Gemini edition you purchased.
- Click Remove.
Manage user access to Gemini app
How your users access the Gemini app depends on whether you have a Gemini for Google Workspace add-on:

With a Gemini for Google Workspace add-on: To let users access the Gemini app as a core service with their Google Workspace account, assign them a Gemini for Google Workspace license and turn on Gemini as a core service.
Tip: When you purchase the Gemini for Google Workspace add-on, Gemini as a core service is available to licensed users. The Gemini service setting has an option to also let unlicensed users access the Gemini app as an additional Google service. For detailed steps, go to Turn Gemini on or off as a core service.
- Without a Gemini for Google Workspace add-on: You can turn on Gemini as an additional Google service in your Google Admin console. Your users don’t need a license to access the Gemini app as an additional service. Note: you must verify your domain before you can use the Gemini app as an additional service.
