Invite users to set working location

As an administrator, you can display a banner in Google Calendar to invite users in your organization to set their working location. Having users set their working location can help everyone coordinate in-office time with others. You can customize the message users see in the banner. You can also link users to the Calendar Help Center to help them set up their working location in Calendar.

Turn working location banner on

Before you begin: Make sure the working location feature is turned on. For details, see Turn working location on or off for users.

It can take up to 24 hours for any changes to take effect. 

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Appsand thenGoogle Workspaceand thenCalendar.
  3. Click Sharing settings.
  4. (Optional) To apply the setting only to some users, at the side, select an organizational unit (often used for departments) or configuration group (advanced). Show me how

  5. Click Working location and check the Calendar shows a banner to users who haven`t set their working location box.
  6. For Banner frequency, choose an option:
    • The banner appears until the user sets their working location —If you choose this option, your users will see the banner until they set a default working location.
    • The banner appears until the user dismisses it.
    • Dismissible but repeats after the following number of days until working location is set—Enter a number between 1 and 180.
  7. For Banner text, choose an option:
    • "Set your working location. Required by your organization to help with hybrid work."
    • "Set your working location. Recommended by your organization to help with hybrid work."
    • "Set your working location. Make it easier to connect with colleagues and get the rooms you need."
    • Write a custom message—Enter a message with up to 100 characters.
  8. For Learn more link, choose an option:
  9. Click Save. Or, you might click Override for an organizational unit.

    To later restore the inherited value, click Inherit (or Unset for a group).
