What is a data controller?

A data controller decides the purpose and way in which personal data is processed.

What is a data processor?

A data processor holds and processes data on behalf of a data controller.

I am in the Netherlands. Do I need to accept these new terms?

Schools can choose to accept the new terms if they wish. If you choose not to accept the new terms, your use of ChromeOS will still be GDPR compliant, but Google will remain a data controller rather than primarily a data processor. For more information, contact SURF/SIVON.

I am not in the Netherlands. When will these changes be available for our region/country?

Data processor mode will be available to customers in other markets at a later date. Presently, it’s only available in the Netherlands.

ChromeOS

On which devices can I activate data processor mode?

You can only activate data processor mode for managed ChromeOS accounts on managed ChromeOS devices, such as Chromebooks, which are running the latest version of ChromeOS and Chrome browser. Data processor mode does not work on earlier versions of ChromeOS and Chrome browser, unmanaged devices or accounts, devices running ChromeOS Flex, or non-ChromeOS devices such as Macbooks or PCs. Chrome Education Upgrade or Chrome Enterprise Upgrade is required to manage ChromeOS devices and to activate data processor mode.

Do I need to use data processor mode to be GDPR compliant?

ChromeOS and Google Workspace for Education can continue to be used in compliance with GDPR whether or not these new terms are accepted. Dutch schools will simply now have the option to accept these new terms should they wish for greater control over their service data.

Does turning off Optional Services affect the usability of Chromebooks?

No, turning off Optional Services should not impact the usability of Chromebooks. Only Essential Services are on by default. Optional Services can be turned on or off manually.

What do IT administrators need to do to turn these features on?

As a data controller, you have responsibilities with regards to Data Subject Access Requests (DSAR) and deletion requests. Tools made available with data processor mode such as Download Service Data, Domain-wide Takeout, and User Deletion Request will help you meet these responsibilities.

How do I turn off Optional Services in managed ChromeOS?

Optional Services can be disabled in your Google Admin console.
