What percent of users work with non-Google Workspace apps?

View the percentage and number of users sending Microsoft Office files through Gmail.

  1. From the Work Insights dashboard, on the left, click the Adoption.
  2. Find the chart titled “What percent of users work with non-Google Workspace apps?”
  3. In team filter at the upper-right corner of the page, select a team. For details, see Filter Work Insights data by team.
  4. (Optional) In the time filter at upper-right corner of the page, select a different time range.
  5. (Optional) To pinpoint the percentage of users sending Microsoft Office files on specific dates, move your pointer over the chart.

What the chart means

This chart shows a breakdown of Microsoft Office files that are sent via Gmail by Google Workspace users. By understanding the number of Google Workspace users in your organization who are relying on non-Google Workspace apps such as Microsoft Office, you can help uncover reasons for their continued use. For example, if some users are still using legacy apps to communicate with other companies or external users, you might see a slower pace for Google Workspace adoption.

How the data is calculated

The number of users who attach Microsoft Office files through Gmail in the last 30 days is divided by the total number of users with access to Google Workspace. 

Note:

  • Work Insights counts 30-day active users to calculate percentages, while other reporting tools might count 28-day active users. This difference might result in a slight variance in percentages.
  • Work Insights uses the total number of users with access to Google Workspace as a denominator, while other reporting tools might specify 28-day active users as a denominator to calculate percentages.

Identify teams with low usage of Microsoft Office apps.

Determine whether it’s practical or feasible to retain the app licenses for those users. 

Set a benchmark to determine if Microsoft Office apps are being used minimally, as expected. Consider removing licenses if usage continually drops below your benchmark.
Identify teams with high usage of Microsoft Office apps, and determine whether it reflects the function of user roles. Confirm if users are continuing to use legacy apps with external customers or clients because they’re accustomed to communicating with those apps or are required to use them.
Identify teams for which high usage of Microsoft Office apps is unexpected. Consider additional Google Workspace training and promoting the reasons why you’ve transitioned to Google Workspace from on-premise or legacy apps.
Understand potential reasons for low Google Workspace adoption. See Understand users' Google Workspace adoption. Consider sending a survey to users to help you understand why they might still be using Microsoft Office or legacy apps.
Identify teams with high usage of Microsoft macro files.

Investigate any potential security risks involved with sharing those files outside your organization.
