Use a translation memory

You can reuse previous translations and work faster with a translation memory (TM). A TM is a database that saves your translations as you work for future use.

There are two types of TMs you can use:

  • Personal TM: A personal TM saves and stores your own translations. Personal TMs can be kept private or shared with other users.

  • Global, shared TM: The global TM saves and stores translations from Translator Toolkit users everywhere. Please note that the global TM is available for anyone to see and use.

For each document you translate, you can choose to use a personal TM or the global TM.

Upload a translation memory

You can upload a TM that contains translations you want to use. If you're translating several documents, you can upload multiple TMs to help you translate each document.

Note: The supported file format is Translation Memory eXchange (TMX). The file size limit is 50MB.

  1. Go to Translator Toolkit.
  2. In the left menu, click the Tools arrow .
  3. Click Translation Memories.
  4. At the top left, click Upload.
  5. Click Choose a file. Browse and select the translation memory file you want to upload, then click Open.
  6. Under "Translation memory name," add a name.
  7. Go to "Sharing." If you want to share your TM with all Translator Toolkit users, click "Shared with everyone." Otherwise, click "Not shared with everyone." Note: If you choose “Not shared with everyone,” you can invite specific users to share your TM later.
  8. Click Add TM.

Or you can attach a TM to a file that's already uploaded:

  1. Open your file in the Translation editor.
  2. Click File > Properties.
  3. Select a TM from the drop-down menu, then click OK.

Note: If you select a TM when you upload a file, the TM will be used to automatically pre-translate your file.

Step 2: Use the TM to translate

  1. Open the file associated with the TM.
  2. At the top right of the Translation editor, click Show Toolkit.
  3. Start translating your document. In the "Translations Search Results" section of the Toolkit, you can see if there are any exact or near-exact matches from your TM.
  4. To use a match, click Use translation. You can use a match as it is, or edit it.

Note: When you’re finished translating your document, your translations are automatically saved to your selected TM for future use.

  2. Click File > Properties.
  3. Select the translation memory you want to use, then click OK.
Start an empty translation memory

If you're starting a project that contains confidential information or content you haven't translated before, you may want to create a new, empty TM.

  1. Go Translator Toolkit.
  2. In the left menu, click the Tools arrow .
  3. Click Translation Memories.
  4. Click Upload.
  5. Skip "Select a file."

Share a translation memory

When collaborating on a translation, it can be helpful to share a TM. When you share a TM with others, they can use the translations stored in that TM. The group’s translations will also be saved to the shared TM.
