Add or edit a task

When you create a task, you can:

  • Add details.
  • Set a date and time.
  • Make it repeat on certain days.
  • Add subtasks.

Important: 

  • Across all your lists, you can create up to 100,000 tasks. 
  • For any list, you can create up to 20,000 uncompleted tasks.

Create a task

Add a task with the Google Tasks app
  1. Open the Google Tasks app Tasks.
  2. Tap Add task .
  3. Enter a title.
  4. Optional:
    • To add more info, tap Add details .
    • To add a date and time or repeat a task, tap Add date/time Date/time and then Done.
  5. Tap Save.
Add a task from an email
  1. Open the Gmail app .
  2. Open the email you want to save as a task.
  3. At the top right, tap More options More and then Add to Tasks.
Add a task from Google Calendar

You can also edit, delete, and complete tasks from Google Calendar. Learn how to create and view tasks in Calendar apps.

  1. Open the Google Calendar app Calendar.
  2. Choose an option:
    • Tap an empty slot on your calendar and then Task.
    • Tap Add and then Task .
  3. Enter the task name and details.
  4. Tap Save.

Tips:

  • Any tasks with dates you create in the Tasks app appear on Google Calendar.
  • A list of all uncompleted tasks from the last 365 days is available in your current day on Google Calendar.
  • When you switch categories from “Task” to “Event” in the middle of the creation process, the Calendar app retains as much of the data as possible.
Add a task from Google Chat

You can create a personal task from Google Chat. 

  1. Open the Google Chat app .
  2. Touch and hold the chat message you want to add as a task.
  3. Tap Add to Tasks.
  4. Finish your draft task in the Tasks app.

Tips: 

  • If you add a date to your task in Google Tasks, the task also appears on Google Calendar.
  • If you edit the task in Google Tasks, the Chat message remains unchanged. 
  • To navigate back to your Chat message from Google Tasks, below the task, click the chat’s name. 
Add a task with Google Assistant
You can ask Google Assistant to create a task. For example, you can say:
  • "Hey Google, create a task."
  • "Hey Google, remind me to call Mom at noon tomorrow."

Change a task 

You can:

  • Change the task name
  • Add details
  • Set a due date
  • Add subtasks
  1. Open the Google Tasks app Tasks.
  2. Tap the task you want to edit.
  3. Change the task info.
  4. Tap Back Back.

Tips:

  • If you want to change the date and time of the next repeating task in a series, tap the date.
  • To edit the date and time for all tasks, at the bottom, tap the repetition info.

Mark a task as complete

  1. Open the Google Tasks app Tasks.

  2. To the left of a task, tap Complete Mark complete.

Delete a task 

  1. Open the Google Tasks app Tasks.
  2. Tap the task you want to delete and then Delete .

Delete a task in a repeating series

  1. Open the Google Calendar app Calendar.
  2. Tap the task you want to delete.
  3. Tap Delete and then This task.

Learn about task notifications  

  • If you add a date and time to your task, you get notifications at the scheduled date and time.
  • Tasks with a date also appear in the Calendar app.
  • For tasks without a time, notifications appear at 9 AM.

Learn about repeating tasks

  • To repeat a task, select the date and time and then Repeat
  • Tasks with subtasks can't repeat.
  • In Calendar, a certain number of upcoming instances of a repeating task will appear on the calendar grid, and as time passes, new ones will be added automatically.
