About this column

There are two valid entries for this column:

  1. Full Extract
  2. Full Delete

Full Extract equals overriding the previous avail with the most recent avail. Full Extract pertains to all avail entries provided for an edit to a movie (e.g., Theatrical and Director's Cut are two different edits) within a territory. For every title and every new submission, the studio must provide all current and known future windows, with EntryType set as Full Extract, every time an avail is submitted.

Full Delete means that all rights to an edit for a territory will be lost. The studio provides Full Delete to remove all avail entries for that edit within the specified territory. 

 


Best practices

Adding window offer lines with Full Extract:

To add a new offer to your current avails, you must provide the new window information in addition to all current and future windows for the title, every time you submit an avail. If you do not provide all current and future windows, our system will override all old information with only the information you provided in the latest update.

For example, to add an in-window UHD offer to a title which currently has SD and HD offers, make sure you include the existing SD and HD offers along with the new UHD offer lines.  It is incorrect to submit an avail ONLY adding UHD lines for an existing in-window offer without including SD and HD lines.

 

Remove/Take Down a Title/Prevent Title from Going Live With Full Extract:

To properly take down a title or remove it from the storefront, submit an avail with EntryType set to Full Extract (not Full Delete) ensure that the Start and End Dates are set in the past for every offer of the title in every territory that you wish to remove it. This will ensure that your title is taken off the storefront and/or does not go live in the future. Using Full Extract instead of Full Delete is preferable because it retains historical avail information within our system. For TV seasons, be sure to include the season line items as well as all others for a Title and Territory combination.

 

Removing a window offer for avails clean-up purposes with Full Extract:

If you wish to clean up the avail information of your title by completely removing window offers from our system, follow the two steps below: 

  1. First set the end date of the offer(s) to the past (while retaining all information for the other offer lines you wish to keep) and then submit the avail. This will make the offer windows unavailable on the storefront, but will retain them in the system for historical purposes.
  2. Once the offer windows of the title have been set to the past (confirm by checking avails in Partner Portal after they have been processed), then remove the unnecessary out-of-window avail lines and submit an avail with only the line items you wish to keep. We will override the previous avail information for that title and remove the (out-of-window) line items not included in the updated avails you provide.
Setting EntryType to Full Delete is NOT the preferred way to remove offers from the storefront for titles which have been delivered and are currently in-window

If you've lost or will lose the rights to a title:

Assuming the title has gone live, submit an avail for all offers of the title with the EntryType set to Full Extract and the End Date of the window set to the date that the rights were/will be lost.

 

When and how to use Full Delete:

Full Delete may be used up until the avail has gone into window. If the assets have been delivered but not gone into window, you can set the Start and End Dates in the past, and set the EntryType to Full Extract. You only want to use this method if the Title has not gone live yet; this is also to avoid removing a title that customers have already purchased. Content owners still need to complete the all required EMA avail fields for a Full Delete title and make sure the Start and End dates for the title are set in the past. Any window offers set in the past can be removed from newer avails.

 


Common mistakes

  • Submitting a value different from Full Extract or Full Delete
  • Submitting In-Window offers in a previous avail; then submitting a new avail without including the previous offers
  • Submitting an avail with Full Extract AND Full Delete lines for the same title/territory (only one should be used per avail)
  • Submitting a Full Delete avail to update an ALID (i.e. deleting the old ALID) and then submitting a Full Extract with a new ALID (updating the old ALID) which can lead to duplicate avails being created with the new ALID instead of updating the old one
