Making Google Classroom video meetings easier and more secure
0
Hello Educators, inspired by your feedback we are launching several new features to make video meetings easier and more secure.

We will be leveraging this forum post to answer FAQs, keep everyone updated on how the rollout is progressing and share any known issues -- as you might be aware, with big changes such as this one, it takes a few weeks for everyone to see the new experience. We recommend subscribing to this post so that you can be directly notified with updates about this launch

Launch Details

  • The class Meet link will now be accessible on the side of the class stream, so students can easily join and teachers can manage the link directly from the stream (This is applicable for Laptop/Desktop users only)
  • Students will be directed to a waiting room until a teacher has officially joined the class Meet link.
  • Guests not on the class roster will have to “ask to join” and be admitted by the teacher before they can participate, so no unintended participants join the meetings.
  • All designated co-teachers for a class will automatically be co-hosts in the meeting. This moderation tool will enable co-hosts to start the meeting with the same Meet link without the class teacher needing to be present.

These changes will be applicable to Classroom users on all platforms i.e. Desktop/Laptop, iOS and Android.

Tips for Teachers and Students

1) Since we are launching a Waiting Room feature to make sure that students only join meetings once a teacher has joined, it will be worth noting for students and teachers that if they ever see the following page (see below) then it would be working as intended and students probably just need for the teacher to join the meeting

2) While any co-teacher is automatically going to be recognized as a co-host at time of Meet link generation, if a co-teacher is added or removed in Classroom after generation of the Meet link then the co-teacher’s co-host status won’t automatically be updated.

In such a scenario, a newly appointed co-teacher can either join the meeting and have one of the available hosts grant them host permissions or the meeting link from Classroom can be regenerated. In the future any co-teacher changes will automatically update co-host status and we will update this forum post once that happens.

3) Any Classroom users who are not on a Google Workspace for Education edition (example anyone using Classroom through a gmail account) will not be able to have their co-teachers appear as co-hosts in the meeting. This is because the ability to have multiple meeting hosts is only available to certain Workspace Editions.

4) Before this launch, there were certain instances of students having host controls or receiving recordings because they would land on the meeting link before the teacher, thus becoming the meeting host themselves.

With this launch, teachers will always be the meeting hosts. That said, this improvement will only be applicable for any new meeting links that are generated. We encourage teachers to upgrade or reset their Meet links in Classroom to obtain this extra security feature as soon as possible.

Tip: All Google Workspace Education editions support the ability to have multiple co-hosts. You can consider signing up for one of the Edu editions to get access to this functionality.

5) Bulk upgrading Meeting links

If a teacher or co-teacher goes to a class with an outdated Meet link which doesn’t have these new features they can upgrade this link in the manage dialog in the class stream. When upgrading the Meet link for that class, you also have the option to upgrade all of the outdated Meet links across all classes that you teach. This is a quick and easy way to make sure that all Classroom Meet links have new security features.

Rollout Status

As of this moment, the launch has just started rolling out and the new set of features are currently available to 1% of the Classroom users. We will continue updating this post as the rollout progresses.
