Add up to 25 co-hosts per meeting and expanded safety features for Google Meet

We are excited to announce that beginning next week (August 16th), we will start launching the ability to have up to 25 Co-hosts within a Google Meet meeting. Additionally, we are expanding our safety features to all Google Meet users and launching an Admin setting for Host Management as well. 

We will use this forum post to keep you all updated on the rollout, answer any FAQ’s and share tips on how to best use these features for productive and safe meetings. We recommend that you Subscribe to this post so that you can be directly notified via an email with updates about this launch.

Understanding what is launching

Since this launch includes new features + expansion of previously launched features to more Workspace users, it’s useful to know what all is changing



Some tips to help you get started 

1. To appoint co-hosts and use all the safety features, make sure that the Host Management toggle is always set to on. This Host Management toggle can be accessed from the Settings Menu inside a meeting. 


2. When using Breakout Rooms, make sure to appoint co-hosts from the main room. Currently, the main host won’t be able to go inside a Breakout Room to promote/demote someone as a co-host. 

3. For someone to be appointed as a co-host, they will have to be present inside the meeting. For instances where teachers want to re-use the same meeting link for multiple classes, it’s advisable to wait for the new teacher to join the meeting & give them hosting privileges before leaving the meeting 

4. If promoted co-hosts switch off Host Management, then they will lose hosting privileges and only the main host will be able to re-enable Host management. Co-hosts can demote other co-hosts individually if needed

5. All meeting artifacts such as Recordings, Attendance Reports, Polling & QA reports, will be emailed to the main host only. The main host can share these reports with the other hosts if needed

Productivity Tip: For anyone who is already noticing the new features, here's something cool for you to test out:

Try using the various Meeting safety features: As mentioned in the original post, in addition to the Co-hosting feature, Meet users will now have access to Meeting safety features such as: Chat Lock, Present Lock, Mute All etc.

These meeting safety features were earlier only available to our educators and now these features are available to everyone, so if you are seeing them for the first time, this is a great opportunity to test them and incorporate them into your meetings.

Weekly Tip: How recordings work with Host Management

When Host Management is switched on: When Host Management is switched on, only the main host and any promoted co-hosts will be able to start a recording. 

When Host Management is switched off: When Host Management is switched off, only users who have the required permissions to record a meeting will be able to start a recording. 

This tip is especially useful for our educators who use one meeting link for multiple online classes. As long as teachers make sure to i) Keep Host Management enabled (steps here) & ii) Appoint other teachers as co-hosts (steps at the bottom), they should be able to record meetings effortlessly. 

We generally recommend that our educators keep Host Management enabled at all times to run meetings more smoothly and to minimize any disruptions. 

*Ability to record meetings is only available to certain Workspace editions (details here). Make sure to use Google Meet through the correct Workspace edition to use Recordings with Host Management.

FAQ Update 

We received reports from a couple of users on the Education Fundamentals edition that they aren't seeing the ability to designate co-hosts from within meetings. We can confirm that users on the Education Fundamentals edition are supposed to have the co-hosting feature but because of a momentary technical issue, they might not be able to do so at this moment. 

Our team is already working to rectify this and we expect that within the next 2-3 weeks, all users on the aforementioned edition will be able to designate co-hosts. We will update this thread once this is fixed. 

Please keep in mind that this update doesn't impact any other Workspace edition.

Rollout Update - Admin Setting launched for Host Management 

As mentioned above, this launch includes the provisioning of an Admin setting for Host Management so that Workspace Admins can decide whether the Host Management feature will be on or off by default for all meetings within their organization. 

This Admin setting for Host Management has now been made available to all Admin supported Workspace Editions. 

By Default, Host Management is switched on at the Admin Console level for the following Workspace Editions: Google Workspace for Google Workspace for Education Fundamentals, Education Standard, Education Plus, the Teaching and Learning upgrade, and Frontline customers 

By Default, Host Management is switched off at the Admin Console level for the following Workspace Editions: Google Workspace Business Starter, Business Basic, Business Standard, Business Plus, Enterprise Essentials, Enterprise Standard, Enterprise Plus, Essentials, and Non-profits customers

Resolved - Education Fundamental users will now be able to add up to 25 co-hosts

Following up on the FAQ update that was posted on 9/10/21, our team has resolved the momentary issue that was disallowing certain users on the Education Fundamentals edition from adding multiple co-hosts. We encourage you test this on your end and let us know if you still face any issues (feel free to post on our forum should you need any help)
