Why our corporate emails are received in spam folder in Gmail 0 Recommended Answers 11 Replies 76 Upvotes

We recently deployed a new mail server. all required records are created properly on DNS. No bulk email or SPAM are sent, however gmail still rating our emails as SPAM. email sent are OTP messages for users. Please help

If your domain is a G Suite/Google Apps account, the domain administrator usually has access to  24/7/365 support from Google - see this page.   Non G Suite users, or users of free consumer "@gmail.com" accounts, cannot be helped by using that link. 
 
G Suite accounts can also use https://toolbox.googleapps.com/apps/checkmx/, and the helpful links there.
 
Otherwise, if some, all, or most of your emails to Gmail accounts are being classified as spam at the Gmail end, or Google are blocking your domain, or Google give a warning to the recipient, or if in some cases your mail is delayed before reaching Google at the last hop, or if (again in some cases) your mail is delayed internally at Google, you will need to comply with the Bulk Sender's Guidelines  at https://support.google.com/mail/answer/81126?hl=en&vid=1-635789122382665739-3305764358  (Note:  this page is badly named, it applies to ALL domains sending to GMail and G Suite accounts.)
 
In particular, pay attention to:-

Changes to MX records may take up to 72 hours to filter through the Internet.
 
Also check your TLS  https://www.checktls.com/TestReceiver  Google require at least TLSv1.2
 
If the issue is with forwarded mail, you should read

If you are receiving a message "this message is not RFC 5322 compliant:", then you need to read, and comply with https://support.google.com/mail/?p=RfcMessageNonCompliant
 
If other Google users have marked your mail as Spam, Google will have learnt from this.  You need to get your mail marked as "non spam".
 
Please also check your emails (both body and signature) for spammy content e.g. lots of exclamation marks; "must read"; attention getting, large and/or gaudy coloured text; text the same colour as the background; tiny text; [almost] zero height images; links hidden under text, images or links with a different URL; etc.  All or any of these may mark you as a spammer by Google.
 
 
If your IP is marked as a Spam Hoster, you will also need to clean this up with your service provider.  Google maintain their own lists, but this posting certainly cannot help you.  Removal from a spam hosting list can take up to four weeks to filter through.  Even after that, Google may treat you account very cautiously, until proven as non spammer.

If your domain previously had a bad reputation, and the problems hopefully have now been corrected, Google may treat your mail with caution for some time, until your credentials are established to their satisfaction.
 
And, as a matter of interest https://support.google.com/mail/answer/1366858?hl=en helps recipients understand why mail is flagged as Spam by Gmail.  Also see https://www.whatcounts.com/2012/03/gmail-spam-warnings-and-their-meanings-for-email-marketers/
 
After doing all this, and the problems persist, you can use  https://support.google.com/mail/contact/msgdelivery All errors need to be corrected, before doing this.

Finally, as we can only give general advice (unless your domain is a G Suite account), you may need to seek further help, if necessary, from your domain hoster, or employ the services of an IT contractor.
 
Repeating - G Suite accounts generally (if qualified) have 24/7/365 support for the domain administrator - see this page.  Non G Suite users, nor users of free consumer "@gmail.com" accounts, will not be helped in this link.

I have a corporate email system, that is always going into the spam folders of GMail recipients.
We are not on any black list and do not send bulk mail.

How do we resolve this?

My domain is not a G Suite, so this thread did not give me any clue, as to what I need to do, for my
client, to find out why, his emails automatically go into all of his gmail client's spam folder.

Yes, I read the original message posted on 4/18 and your response about G Suite on the same day.
Are there other post, that i am not seeing?

I have also read articles about creating a filter. That is impossible to ask every single gmail client to do.
These emails should not be going into anyone's spam folder.

With respect, that information was not only for G Suite users, so maybe you need to read again.
 
Otherwise, if that doesn't help, you will need to seek help;  either from your domain hoster, or an outside expert.  We can only give general advice.

Sorry, I did not see all of the rest of the nonsensible information you had in that single post.

Let's try to cut to the chase.

1.) Where can I find the Gmail spam list, so I can see if my domain or IP is listed on it?
2.) Where are the tools to submit my Domain or IP address for removal?

These are the standard tools used by all large email services. That is what I am looking for.
Do you have these tools available?

The above thread sends you to one set of guide lines to another set of guide lines and does not resolve anything..

Let's save the next Administrator, who is just looking for your POST MASTER tools, that will allow him to do his job, without having to read every guide line ever created. As we have enough to do already.

Already disclosed above, but no guarantee that Google will respond, if they find issues still existing.

BTW - we've been having issues with EVERY email we send to a Google recipient, including business Google users, going to spam. After testing, any email I send that has a link to my email address (which is hosted by Office 365) is sent to spam. When I removed my email address from my signature the email went through. However, responses would go to spam because my email address would be in the "from" or "to" fields within the quoted responses. Google needs to fix this asap. It's hard for me to communicate with some of my clients because they use Google Business or Google Education. Every email I send I have to remove my email address from anywhere within the body of the message to get the email to go through. Or they have to create a filter forcing the email to not be treated as spam which is a pain.
