Export your organization's data from Hire

This article is for Hire admins.

We recommend that you export your data from Hire before you transition to a new ATS. This document outlines the data export process. The export may not include everything you’d expect, so please review this information carefully.  We’ll update this article to notify you about any changes to this data export tool. For more details of the data export format and processes, please contact the Hire support team.

Data Export Timeline

You will no longer be able to export your data after either your Hire subscription terminates or the Hire service itself expires (September 1, 2020), whichever comes first. We suggest that you start the export process at least a few months in advance of your Hire subscription end date to help avoid interruptions during the transition. To confirm your Hire subscription end date, contact your G Suite Admin.

Data Export Instructions

Your G Suite Admin will need to allow third-party apps to work on files stored in Drive in the Admin console. If this is not turned on, the export might fail. Learn more.
​In order to retrieve your data export from Hire, you must be a Hire admin. Contact Your G Suite Admin to make sure that third-party apps are allowed to access files stored in your Drive Admin console. Hire will export all data to the Google Drive account belonging to the user that started the export. To begin the data export:
  1. Sign in to Hire.
  2. Select Menu Menu and then Admin and then Data management.
    Select Export and then Export.
  3. Your data is exported to Drive and the export process can take anywhere from one day and up to a week to complete, depending on the volume of data stored in Hire. If your export takes longer than a week, please contact our Customer Support team.  

Note: The Archive export page will show all data exports that are in progress or have been completed by any of your organization’s Hire Admins. 

Data Export Instructions

A data export creates the following items in your Drive account:

  • A folder containing JSON files titled: "Hire-data-export-<timestamp>". The files are organized according to the following objects:

    • Job applications

    • Job positions

    • Candidates and employees 

    • Custom fields

  • Within the same folder, a "documents" subfolder containing additional files that were uploaded to Hire, such as resumes, cover letters, and images associated with a candidate record. 

  • Only data stored in Hire is exported.  For example, any Hire-related data stored in Gmail, Calendar or Drive (e.g., sent email, interview events, or offer templates) will not be included in this export.
