Data migration

The Hire data migration team can do a one-time data import of your legacy Applicant Tracking System (ATS) data into Hire. Migration of data is typically complete within 30 days of Google receiving it. However, depending on the ATS, your data may take longer to migrate.

You’ll need to request a data export from your current ATS and transfer that data to our team. We cannot begin the migration until we’ve received your data, so it’s important that you make this request as soon as possible. Hire’s data migration team is unable to import legacy data into Hire if the data originated outside of an ATS.

Note: We will not be able to import any data you create in your current ATS after you’ve requested this data export. Because of this, there is a risk of some data loss with every data migration. Our team works to minimize this loss, but you can help by switching over to Hire as soon as possible.

What to expect

Before getting started with data migration, you should be sure you understand the timeline and process. You can view a typical timeline below:

Data migration FAQ's

How long will it take to transfer my legacy data to Hire?

Migration begins upon receipt of a data export from your previous ATS. The duration for receiving a data backup varies by ATS, therefore time to complete migration to Hire can take anywhere from 4 - 6 weeks.

How can I minimize the gap in my data when switching to Hire?

We will not be able to import any data you create in your current ATS after you’ve requested this data export. Because of this, there is a risk of some data loss with every data migration. Our team works to minimize this loss, but you can help by switching over to Hire as soon as possible.
You can bulk import your current candidatesadd your open jobs, and transition your careers page to Hire while you wait for the rest of your data to import. This will help reduce data loss by allowing you and your team to make a clean switch to Hire.

How can I transition my careers page to Hire?

Below are two options to connect Hire to your company career page. Feel free to share the following options with your careers page manager.
  • Embed the iFrame snippet into your career webpage. This will option will automatically render any job published in Hire. We recommend this option for most customers.
  • Another option is to embed the published job URL into each of your open position links on your site. This option would enable your careers page to follow your current page layout. Any future positions would require your jobs in Hire to be embedded into your careers page.

Where can I learn more about how I can manage my candidates and jobs once migrated to Hire?

Review our guides on candidates and jobs which explain how your candidates and jobs will be managed in Hire. If you need additional assistance, reach out to our support team by email.

How can I ensure that my imported candidates will not clutter up my active candidates?

Our data migration team will work with you to create a preferred mapping of your hiring process/ stages in Hire.
We can import some or all of your imported candidates as rejected. We recommend this approach if you have a large number of candidates.

Where can I access additional educational materials for Hire?

Join our weekly training that provide overviews of setting up and using Hire. Trainings are available to anyone on your team. We also provide a series of training videos to get you up and running quickly.

Where can I get additional support or share feedback on Hire?

Select the help icon  at the top-right of any Hire page to quickly access our help center, as well as contact our support team.

What are some things to be aware of while my legacy data is being imported?

  • Candidates not associated with a job will be added to a general application. These candidates are associated with a position called “no job specified." Once in the candidate's area, select All and select the No job specified filter.
  • Candidates imported from a legacy ATS require a first and last name for creation in Hire. If no last or first name exists, we will be unable to import these candidates.
