Make sure your doc is shared with "anyone with link" or "public"
open the doc or sheet or drawing you want to use
click in the omni box and look at the end of the link
replace the word EDIT with the word COPY In the link
Click return or enter
Copy/paste the new link into wherever you need to - email, newsletter, doc, presentation.
When the user clicks they will be prompted to make a copy

To add a little to Jennifer's response, here is how to share a link with "make a copy" as the default prompt:

Go to the sharing dialogue, select "get shareable link", select "anyone with link can view", then select "copy link".
You should have a link that looks like this:
https://docs.google.com/spreadsheets/d/<spreadsheetID>/edit?usp=sharing

Then change the last part to /copy instead of /edit?usp=sharing, it should look like this:
https://docs.google.com/spreadsheets/d/<spreadsheetID>/copy

Use that link when sharing and the person you are sharing with will get a prompt to "make a copy" when they click it. You can also bookmark that link so that you get the "make a copy" prompt if you are using it for a template.

If you are in a G. Suite or Education account (your email address doesn't end with "gmail.com") there is another option available for you, Custom Templates. How to create a template. Your administrator must have enabled the feature though.

I have followed these steps but when I share the link once I've replaced the /edit?usp=sharing with /copy the person I shared the link with are shown a message saying it does not exist. What am I doing wrong? Please help.

@Kim Mich,

Normally if it says the file does not exist then something else was changed along with the /edit... portion. When you click on that exact link does it take you to the same page or to the correct one?

If you are in a G. Suite account, are you and the recipient in the same G. Suite account? If not, you might need to talk to your administrator to get the file to the other person.
