Share and collaborate on iPhone/iPad

You can share files using the latest version of the Drive, Docs, Sheets, or Slides apps. You can also work on files at the same time as others using the Docs, Sheets, and Slides apps.

Share a file

To share a file:

Google Drive app
  1. Open the Drive app.
  2. Next to the file name, touch the info icon Activity Information.
  3. Touch Add people.
  4. Enter an email address and give the person permission to view, comment, or edit the file.
  5. Touch the checkmark Checkmark.
Google Docs, Sheets, or Slides app
  1. Open the Docs, Sheets, or Slides app.
  2. Next to the file name, touch the menu icon .
  3. Touch Share & export.
  4. Touch the sharing icon .
  5. Enter an email address and give the person permission to view, comment, or edit the file.
  6. Touch Share.

To edit Microsoft Office files with others, you must first save the file to Google Docs, Sheets, or Slides.

Share a link to a file

Share a file by sending a link by email or chat. To share a link to a file:

Google Drive app
  1. Open the Drive app.
  2. Next to the file name, touch the info icon Activity Information.
  3. Under “Who has access,” touchTurn on or touch the link icon .
    • You should see “Link sharing is ON.” Anyone with the link can see your file (even if you haven’t shared the link with them directly).
  4. The link has been copied to your clipboard. Paste it into an email or chat.
  5. To change what other people can do with your file, touch Turn off. Then, choose your new sharing permissions.

If you turn link sharing off and others can’t access your file, you can share the file with them individually. To share the file, follow the instructions in the section above.

Google Docs, Sheets, or Slides app
  1. Open the Docs, Sheets, or Slides app.
  2. Next to the file name, touch the menu icon .
  3. Touch Share & export.
  4. Touch the sharing icon .
  5. To turn on link sharing, touch Link sharing is OFF and choose the sharing permissions.
  6. Touch the back arrow. You should see “Link sharing is ON.” Anyone with the link can see your file (even if you haven’t shared the link with them directly).
  7. Select Copy link to clipboard. Paste the link into an email or chat.
  8. To change what other people can do with your file, touch Link sharing is ON. Then, choose your new sharing permissions.

If you turn link sharing off and others can’t access your file, you can share the file with them individually. To share the file, follow the instructions in the section above.

Real-time collaboration

You can work on Google Docs, Sheets, and Slides at the same time as someone else. Anyone viewing the file can see edits made in real time from any device. For example, changes you make in the app on your iPad will show up for others looking at the file on their desktop.

See a history of activity (Google Drive app)

To see the activity that has taken place in a file or folder, like who moved a file and what folder they moved it to, you can track activity using the Drive app.

  1. Open the Drive app.
  2. Next to the file name, touch the info icon Activity Information.
  3. Scroll to the “Activity” section. The activity that appears at the top is the most recent.
  4. To see more activity than is currently showing, touch View more activity.
