Edit documents on Android or iPhone/iPad

This information applies to the latest version of the Docs app. Download the latest version:

You can edit documents with the Docs app even if you’re not connected to the Internet.

Set up offline editing:

To begin editing:

  1. Open the Docs app.
  2. Tap the document you want to edit.
  3. Double-tap a word to select it. Move the blue markers to select more text.
  4. Begin editing.

Note that there may be additional features available when editing Word files in the Docs app that aren’t covered in the information below.

Format text

Cut, copy, and paste text

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Double-tap a word to select it. Move the blue markers to select more text.
  3. Touch one of these options:
    • Cut
    • Copy
    • Paste

You can cut and paste text, or copy and paste it, in the same document or another document in the Docs app.

Bold, italicize, underline, and strikethrough text

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Double-tap a word to select it. Move the blue markers to select more text.
  3. Touch the format icon .
  4. Choose from one of the following options:
    Icon Description
    Bold
    Italics
    Underline
    Strikethrough
  5. Your text will change when you choose an option. Touch the option again to remove the formatting.

Change font style, size, or color

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Double-tap a word to select it. Move the blue markers to select more text.
  3. Touch the format icon .
  4. Change the font style, size, or color:
    • Style: Touch Style and select from normal text, title, subtitle, and heading styles.
    • Font: TouchFont select a new font.
    • Size: Touch the arrows next to Size to make the text bigger or smaller.
    • Text color: Touch Text color and choose a color.
    • Highlight color (Android only): Touch Highlight color and choose a color.

Spell check

Docs checks spelling automatically. Misspelled words are underlined in red. Touch a misspelled word to see suggestions, then, touch the word you want to replace it with.

Format paragraphs

Change paragraph alignment

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Double-tap a word to select it. Move the blue markers to select more text.
  3. Touch the format icon .
  4. Go to the “Paragraph” section.
  5. Choose from one of the following options:
    Icon Definition
    Left align
    Center align
    Right align
    Justify (right and left align)

Change line spacing for a paragraph

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Touch the format icon .
  3. Go to the "Paragraph" section.
  4. Next to "Line spacing," use the arrows to choose the amount of space you want between the lines in the paragraph.

Add a numbered or bulleted list

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Touch a section of the document or double-tap a word to select it. Move the blue markers to select more text.
  3. Touch the format icon .
  4. Go to the “Paragraph” section.
  5. Choose from one of the following options:
    Icon Description
    Numbered list
    Bulleted list
    Multi-level list (Android only)
Undo or redo an action

To undo an action, go to the top of the screen and touch the undo icon .

To redo an action, touch the redo icon .

Add an image

Add an image

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Touch the + (plus) button in the top right.
  3. Touch Image.
  4. Choose one of the following options:
    • From photos: Choose a picture from storage.
    • From camera: Take a new picture.

Replace an image

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. In the menu that appears, touch the three horizontal dots (Android) or Replace (iPhone/iPad).
  3. Choose one of the following options:
    • Replace image from photos: Replace the image with another one stored on your device.
    • Replace image from camera: Replace the image by taking another picture.
Add and edit tables

Add a table

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Touch the + (plus) button in the top right.
  3. Choose Table.
  4. Touch the arrows next to “Rows” and “Columns” to chose how many rows and columns to add to the table.
  5. Touch Insert table.

Insert a row or column in a table

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Touch and hold (Android) or touch (iPhone/iPad) a table to select it.
  3. On Android, touch the + (plus) icon in the bottom left of the table to add a row, or touch the + (plus) icon in the top right of the table to add a column. On an iPhone/iPad, choose an option:
    • Insert row above: Add a row above the selected cell.
    • Insert row below: Add a row below the selected cell.
    • Insert column left: Add a column to the left of the selected cell.
    • Insert column right: Add a column to the right of the selected cell.

Adjust row height or column width

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Double-tap a cell in a table.
  3. Touch the format icon .
  4. Go to the “Table” section.
  5. Touch the arrows next to “Row height” or “Column width” to make the rows or columns larger or smaller.

Select multiple cells in a table (Android only)

  1. Open a document and double-tap the place in your document you want to edit.
  2. Tap the table cells you want to select.
  3. Touch the blue “Down” arrow to select a column. Touch the blue “Right” arrow to select a row. To select the whole table, touch the gray circle in the upper left.
Track changes to a document (.docx files only)

You can track changes that you make in a Word file, or review changes made by others in the Docs app. This feature is only available for Word files in .docx format.

Turn on track changes

If you open a document that already has tracked changes, this feature will be turned on by default. To turn on tracked changes manually:

  1. Open the .docx file you want to track changes in.
  2. In the top right, touch the menu icon .
  3. Check the box next to “Track changes”.
  4. Changes you make will show up in a different color. Anything you delete will show up with a strikethrough.

Accept or reject a tracked change

  1. Open the .docx file with the tracked changes.
  2. Tap the suggestion that you want to review.
  3. Touch Suggestions.
  4. Choose Accept to add the change to your document or Reject to remove the change.

If you want to accept or reject all tracked changes to a document, follow steps 1-3 above, touch the back arrow, and choose Accept all changes or Reject all changes.
