Edit and format a document

You can edit the text, paragraphs, spacing, and more using the toolbar in a document.

Change text

Computer

If you want to edit your text, there are a number of options in the toolbar. Select any text you want to change and then choose from the following options:

  • Bold
  • Italicize
  • Underline
  • Font (shows current font)
  • Font size (shows current size)
  • Change text or highlight color
    • Choose either "Text" or "Highlight," then choose a color.

Change font style

To change the style of font you're using, or to create a header:

  1. Open a document and select the text you want to change.
  2. Click the Format menu > Paragraph styles.
  3. Choose a font or header style for the selected text.
  4. Click Apply [style].

You can also change how a style appears in a document. Select the text with the style you want copied, and click the Format menu > Paragraph Styles > Update [style] to match.

Mobile

Bold, italicize & underline

If you want to format your text on a mobile device, you can make the following changes from the keyboard:

  • Bold
  • Italicize
  • Underline

Change font style, size, or color

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Double-tap a word to select it. Move the blue markers to select more text.
  3. Scroll up and touch the Format icon .
  4. Change the font style, size, or color:
    • Style: Touch Style and select from normal text, title, subtitle, and heading styles.
    • Font: Touch Font select a new font.
    • Size: Touch the arrows next to Size to make the text bigger or smaller.
    • Text color: Touch Text color and choose a color.
    • Highlight color (Android only): Touch Highlight color and choose a color.

Change paragraph spacing & alignment

You can edit the alignment of paragraphs and line spacing in a document.

Computer

Change line spacing

  1. Open a document and select the lines you want to change.
  2. In the toolbar, click the Line spacing icon .
  3. Select an option from the menu. To choose a custom value for spacing, click Custom spacing.

Note: You can also add space before or after a paragraph from the menu.

Change paragraph alignment

  1. Open a document and select the paragraph you want to change.
  2. In the toolbar, choose one of the alignment options:
    • Left align
    • Center align
    • Right align
    • Justify
Mobile

Change line spacing

  1. Open a document and double-tap (Android) or tap (iPhone/iPad) the place in your document you want to edit.
  2. Touch the Format icon .
  3. Go to the "Paragraph" section.
  4. Next to "Line spacing," use the arrows to choose the amount of space you want between the lines in the paragraph.

Change paragraph alignment

If you want to align a paragraph on a mobile device, you can make the following changes from the keyboard after selecting the paragraph:

  • Left align
  • Center align

Note: If you want to right align or justify your paragraphs, open the app and touch the Format icon > Paragraph > Right align icon or Justify icon .

Select and edit all text with the same formatting

On a computer, you can quickly make changes to all text with the same formatting.

  1. Open a document and select text that you want to change.
  2. Right-click and choose Select all matching text.
  3. All text with the same formatting will be selected. You can now change the formatting for the selected text.

The types of formatting that are recognized as matching include:

  • Font
  • Font size, color, or weight
  • Bolded text
  • Italicized text
  • Underlined text
  • Strikethrough text
