Reflow: update proposal line items to comply with changes to product templates

Learn how you can update proposal line items when you make changes to product templates

This article helps you understand the DFP sales management "reflow" feature. Reflow allows you to update certain proposal line items based on various changes made to the products upon which those proposal line items were based.

We'll cover the following topics:

Understanding reflow

To initiate reflow updates, you must have the following permissions:

  • Edit sales product templates
  • Edit sales products and product packages
  • Reflow sales proposal line items

A DFP administrator by default has all of these permissions.

When you modify a product template, those changes are automatically pushed to products from the product template. However, proposal line items based on those products are not automatically updated with these changes. There are good business reasons for some proposal line items to retain the settings and targeting that resulted from the originating product. For instance, a sales representative might have negotiated specific terms with an buyer or advertiser, and summarily changing a proposal line item might impact the negotiated terms.

There may be other cases, though, when you might want to push updates to proposal line items. For example, inventory sizes or key-values might have universally changed in your network, and you want sales representatives to work with latest and valid values before their proposal is sent to trafficking for delivery (finalized). The "Reflow" feature helps you manage cases like this.

Reflow updates overwrite edits made to proposal line items and cannot be undone. Sales representatives do not have an opportunity to confirm these changes. Instead, they are notified through DFP alerts in the upper right of the user interface when DFP is finished updating proposal line items. They can then view the changes that were pushed to their proposal line items by going to change history.

Only changes made to a product template trigger the potential for a reflow update to proposal line items. Changes that can be made directly to products, such as product rate overrides or changes to individual product names, do not trigger the need for a reflow update.

Changes to a product template that that can potentially affect proposal line items when a reflow update is completed:

  • Targeting
  • Delivery settings
  • Inventory sizes
  • Customizable attributes

Notable changes to a product template that do not trigger a reflow update include:

  • Product template name and the subsequent change to its products' names
  • Product rate
  • Line item priority
  • Product template "Description"
  • Custom fields

In order for proposal line items to be affected by reflow updates, they must:

  • Belong to a proposal in "Draft" (never sold) or "Draft (sold)" (previously sold and retracted) status
  • Continue to be linked to their products

Proposal line items in proposals that have been submitted and are awaiting workflow or have been approved and finalized are not affected by reflow updates.

The reflow table

The reflow table provides a list of proposal line items potentially affected by a reflow update. They are listed with a sync status of either "Synced" or "Unsynced". Synced proposal line items are aligned with their originating products, while unsynced ones contain at least one setting or targeting attribute that is misaligned with its originating product.

The reflow table shows you a list of proposals and proposal line items in the following orientation:

  • Proposal name ›
    • Proposal line item name

Along with the sync status, the reflow table also list other useful information like product name, proposal status, salesperson, and rate card. When you navigate directly to the reflow table, all proposal line items potentially affected by a reflow update are listed without filters. However, you can apply filters to the reflow table to help find the proposal line items in which you're interested. Filters include:

  • Proposal name
  • Proposal ID
  • Line item name
  • Line item ID
  • Product template
  • Product template ID
  • Product
  • Product ID
  • Rate card
  • Salesperson
  • Synched

Initiating reflow updates to proposal line items

There are several avenues you can take to initiate reflow updates to proposal line items:

Click "Save and reflow"

From the product template details page, you can click the down arrow () next the "Save" button and find "Save and reflow". When you select this option, DFP provides two choices:

  • Save and view

    Allows you to view a list of proposal line items potentially affected and select the ones you want to update. When you select this option and click "OK", DFP directs you to the reflow table and automatically filters by the product template you just modified. Only proposal line items whose originating product came from this product template are listed.   • Save and updated now

    Summarily updates all proposal line items without review. All proposal line items, whose proposals are in draft, and whose originating product came from the product template you just modified, are immediately updated to reflect changes. You will not have an option to choose which proposal line items to update. Use this feature with caution as it overwrites edits made to proposal line items and cannot be undone.

Navigate to the "Reflow" table via a link

After clicking "Save" from the product template details page, DFP provides you with a confirmation that the product template was saved successfully. This confirmation also notes if there are proposal line items potentially affected by a reflow update and provides a "View" link. When you click the "View' link, DFP directs you to the reflow table and automatically filters by the product template you just modified. Only proposal line items whose originating product came from this product template are listed. Navigate directly to the "Reflow" table

You can also choose to navigate directly to the reflow table. By default, no filters are applied and all proposal line items potentially affected by a reflow update are listed. To help find the proposal line items in which you're interested, apply filters.

To navigate to the reflow table:

  1. Navigate to the Sales tab.
  2. Click Proposal line items in the left navigation panel to expand. 
  3. Click Reflow in the left navigation panel.

Completing reflow updates to proposal line items

Once you're on the reflow table, you can optionally apply filters or scroll through proposal line items potentially affected by a reflow updates.

To complete reflow updates:

  1. Select the proposal line items you want to update with the changes you made to product templates.
  2. Click Reflow.

When DFP is finished updating proposal line items, sales representatives are notified through DFP alerts in the upper right of the user interface. Sales representatives can view the changes that were pushed to their proposal line items by viewing change history.
