Create & assign tasks in a Google Chat space

As a member of a space in Google Chat, you can create and manage group tasks and assign tasks to other space members. You can view tasks in the space where they're created. If a task is assigned to you, it appears in your personal task list in Google Tasks. When someone creates or updates a task, a notification appears in the space.

Tip: If you use a work or school account and don't have the “Tasks” tab in a space, contact your Google Workspace administrator to turn on this feature.

Create & assign a task in a space

  1. Open the Chat app "" or Gmail app "".
  2. On the bottom, tap Spaces Roomsand then select the space.
  3. On the top, tap the Tasks tab.
  4. At the bottom right, tap New task "".
  5. Enter a title for the task.
  6. Optional: To add a description or more details, tap Details "" and enter the information.
  7. Optional: To add a date and time, tap Google Calendar ""and then select a date and time and then tap Done.
    Tip: If you add a date and time to your task, you get notifications at the scheduled dates and times.
  8. Optional: To assign the task to a member of the space, tap Person ""and then tap the name of the person. To assign the task to someone who isn't a member of the space, invite them to the space first.
  9. Tap Save.
Important: When you delete a task, it’s deleted for all members of the space and from the assignee’s personal task list.

Edit a task

  1. Open the Chat app "" or Gmail app "".
  2. On the bottom, tap Spaces Roomsand then select the space.
  3. On the top, tap the Tasks tab and then select the task.
  4. At the top right, tap Delete "".

Tips: If you have a task in your personal task list:

  • You can edit the task title, details, and date or time from your personal task list.
  • You can also mark the task complete from your personal task list instead of from the space.
  • Changes update the task for everyone in the space and a notification displays.

Mark a task complete

  1. Open the Chat app "" or Gmail app "".
  2. On the bottom, tap Spaces Roomsand then select the space.
  3. On the top, tap the Tasks tab and then select the task.
  4. At the top right, tap Mark as complete "".

Tips: If you have a task in your personal task list:

  • You can also mark the task complete from your personal task list instead of from the space.

Mark a task incomplete

  1. Open the Chat app "" or Gmail app "".
  2. On the bottom, tap Spaces Roomsand then select the space.
  3. On the top, tap the Tasks tab.
  4. Next to "Completed," tap Expand "" to view the tasks.
  5. Next to the task, tap Complete "" to change the status to Incomplete "".

Delete a task

Important: When you delete a task, it’s deleted for all members of the space and from the assignee’s personal task list.

  1. Open the Chat app "" or Gmail app "".
  2. At the bottom, tap Spaces Roomsand then select the space.
  3. At the top, tap the Tasks tab and then select the task.
  4. At the top right, tap Delete "".
