Add or remove people and bots for a room or group conversation

To add people and bots to rooms or group conversations in Google Chat, add them to the member list. You can also add a person to a room or group conversation with an @mention.

Add people or bots to a room or group conversation
  1. Open the Chat app "" or Gmail app "".
  2. Open a room or group conversation.
  3. At the top, tap the room name or conversation participants and then Add people and bots.
  4. Enter a name, group or email address, or select from the suggestions.
    • If you have Directory turned on, suggestions include everyone in your organisation, even if they don't have Chat. 
    • If the room allows external participants, enter the email address for each external person. 
    • You can't add a Google Group that was created by an external organisation.
  5. Tap Done "".

Tip: If you don’t send a notification email to the person that you added, they can use ‘Browse rooms’ to find it.

View members of a room or group conversation
  1. ​Open the Chat app "" or Gmail app "".
  2. Open a room or group conversation.
  3. At the top left, tap the room name or group participants.
  4. Under ‘Members’, the names of room members or conversation participants appear. 
  5. To add more members to the room or group conversation, tap Add people and bots.
Remove members from a room or group conversation

You can remove members from a room or group conversation. If you remove someone, they can’t participate in the room or group conversation. They also can’t view conversation history.

If the person was added to a room as part of a group in Google Groups, you need to first remove them from the Google Group, then remove them from the room. Or, you can remove the entire Google Group from the room.

  1. ​Open the Chat app "" or Gmail app "".
  2. Open a room or group conversation. 
  3. At the top, tap the room name or conversation participants.
  4. Under Members, next to the person’s name, tap More options ""and then Remove from room.

Use @mention to add someone to a room or group conversation

You can @mention someone to add them to a room or group conversation. They can join the discussion, view the room in their room or conversation list, and receive notifications.

Add people outside your organisation to a room

To add people outside your organization to a room, the room creator must add them. External rooms can't be changed to internal rooms later, and vice-versa.

External participants must have a Google Workspace account from another organization or a personal Google Account (usually ending in @gmail.com). 

People outside your organization are invited. They are not directly added to the room. They can find and join the room in 3 ways:

  • With an email notification you send when you set up the room.  
  • With an @mention. They won’t get an email notification. When they join the room, they can view the invite.
  • By searching for the room in “Browse rooms.”

In a room, people outside of your organization have a badge that marks them as external. 

Tip: People outside your organization can’t be added to group conversations.

Invite a group to a room

To invite a group to a room, add a Google Groups email address to the member list. When you invite a Google Group, each member joins or leaves the room individually. Invitees can preview the room before they join.

Invitations are sent immediately to Google Groups with up to 100 members. If you invite a Google Group with more than 100 members, email invitations aren’t sent. 

If you don't get an email invitation, you can still join a room when you search “Browse rooms.”

Group limitations:

  • If a person joins a room from a Google Group invitation and is later removed from the Google Group, they’re not removed from the room.
  • You can't invite Google Groups owned by someone outside of your organization.
  • If you send invitations to Google Groups with more than 1,000 members, it can take up to 24 hours before they can join a room. 
  • A Google Group can’t be invited to a group conversation, only to a room. 
  • If a member of a Google Group leaves a room, they can rejoin the room any time.

Create public rooms

To create a room that everyone in your organization can find, your Google Workspace administrator can create an organization-wide group. For example, your administrator can add a group named everyone@yourcompany.com to a room.
