Create a calendar for a room or shared space

If you manage a shared space, like a conference room or basketball court, you can create a calendar for the space and let people book time in it.

Create a shared space calendar

  1. On your computer, open Google Calendar. You can't create shared calendars from the Google Calendar app.
  2. On the left side of the page, find the My calendars section.
  3. To the right of My Calendars, click the dropdown > Create new calendar.
  4. Add a name for your calendar, and any other information you want to include.
  5. At the bottom of the page, click Create calendar.
  6. In the My calendars section, click the down arrow to the right of your new calendar's name > Calendar settings.
  7. In the Auto-accept invitations section, choose the setting that works best for your space.
  8. At the bottom of the page, click Save.
  9. In the My calendars section, click the down arrow to the right of your new calendar's name > Share this calendar.
  10. Make your calendar public, or share it with certain email addresses.
  11. At the bottom of the page, click Save.

Set Calendar hours

To set hours for your space, block off the time when it isn't available.

  1. Open the calendar you created for your space.
  2. For the hours that aren't available, create an event during that time with a name like "Closed." If the space is always unavailable at that time, you can make the event repeat.
  3. Click Save.
Create an event that shows up on a shared calendar
  1. On your computer, open Google Calendar.
  2. In the top left, click Create event.
  3. Enter the event information.
  4. In the Guests section, add the calendar address.
  5. Click Save.

Invitation settings

When you create a shared calendar, there are a few ways new events be added to the calendar. Open the different options below to learn more.

Auto-accept invitations that do not conflict

Automatically accept invitations if there aren't any other events scheduled.

If events are already scheduled, the invitation will automatically be declined.

Note: For this option to work, your calendar needs to allow people to See all event details.

Automatically add all invitations to this calendar

Even if the invitations conflict, they will all show up on the calendar.

Do not show invitations

The calendar works just like a regular calendar. You can create events, send invitations, and choose who to share the calendar with.
