Scheduling across time zones

If you’re working across time zones, these features may help simplify scheduling:

Show an additional time zone:
To view the corresponding time in an additional timezone, follow these steps:

 

  1. Click the gear icon at the top of the page
  2. Click Settings
  3. Select the General tab
  4. In the Your current time zone section, click the Show an additional time zone link
  5. Select the alternate time zone from the drop-down menu
  6. In the Label field, assign the additional time zone a name
  7. Click Save

The additional time zone you selected will appear along the left of the Calendar event grid.

Swap time zones:
This feature allows users who are displaying an additional timezone to easily swap the timezones on their calendar.

To swap time zones:

  1. Click the gear icon at the top of the page
  2. Click Calendar settings
  3. Select the General tab
  4. Click swap to the right of the Your current time zone: section
  5. Click Save

Enable this lab to always know the current time in multiple time zones. Plus, click on an event and the time zone gadget will display the corresponding event time across the different timezones.

 

Scheduling events across time zones just got easier!

Add time zones to events:
Traveling to Paris and want to put your flight times and planned events into Calendar? The Event time zones feature can help. Using Event time zones, you can specify the time zone for an event and even indicate separate start and end times for a single event (great for flights!). To get started using the feature, click the Time zones link to the right of the date and time fields on the event page.

 

Create an event in a single time zone

  1. Create a new event and open the event page by clicking the Create event button (or by clicking within the calendar grid and choosing Edit event details)
  2. Click the Time zone link to the right of the date and time fields
  3. Make sure the one time zone option is selected
  4. Choose the country in the first drop-down
  5. Select the time zone in the second drop -down
  6. Click Done
  7. You’ll see the date and time fields and newly-specified time zone highlighted in yellow

Create an event with separate start and end time zones

This option is not available for recurring events
  1. Create a new event and open the event page by clicking the Create event button (or by clicking within the calendar grid and choosing Edit event details)
  2. Click the Time zone link to the right of the date and time fields
  3. Select the separate start / end time zones option
  4. In the Event start section, choose the country and time zone that the event will start in from the drop-down menus
  5. In the Event end section, choose the country and time zone that the event will end in
  6. Click Done
  7. You’ll see the event start time and time zone highlighted in yellow, and the event end time and time zone highlighted in green

Add a time zone to an existing event

You can only add a time zone to an event you own or for which you have modify rights
  1. Open the event page for the event you’d like to add a time zone to by clicking on the event and choosing Edit event details
  2. Click the Time zone link to the right of the date and time fields
  3. Make sure the one time zone option is selected
  4. Choose the country in the first drop-down
  5. Select the time zone in the second drop -down
  6. Click Done
  7. You’ll see the date and time fields and newly-specified time zone highlighted in yellow

Add separate start and end time zones to an existing event

You can only add a time zone to an event you own or for which you have modify rights. This option is not available for recurring events.
  1. Open the event page for the event you’d like to add a time zone to by clicking on the event and choosing Edit event details
  2. Click the Time zone link to the right of the date and time fields
  3. Select the separate start / end time zones option
  4. In the Event start section, choose the country and time zone that the event will start in from the drop-down menus
  5. In the Event end section, choose the country and time zone that the event will end in
  6. Click Done
  7. You’ll see the event start time and time zone highlighted in yellow, and the event end time and time zone highlighted in green

Using time zones with the Find a Time scheduler

The time zone(s) selected for the event will appear in the scheduler on the Find a Time tab of the event page. A column to the left of the scheduler grid displays the time zone in yellow. If two time zones are used for one event, the start time zone will display in yellow and the end time zone will display in green.

Remove a time zone

  1. Open the event page of the event you’d like to remove the time zone for by clicking on the event and choosing Edit event details
  2. Click the Time zone link to the right of the date and time fields
  3. Click Remove event time zone...
  4. Choose whether or not you’d prefer the event’s time to be converted to an equivalent time in your local time zone
  5. Click OK
