Track responses to your event

When guests respond to your invitations from Google Calendar, you:

  • Get an email notification
  • Can track their responses

Review your guest list

  1. On your computer, open Google Calendar.
  2. On your calendar, click the event.
  3. At the top right, click Edit event Edit.
  4. On the right, under “Guests,” review the guest list.

Review a guest’s proposed time

If a guest can’t attend the scheduled event, they can propose a new time. You can review the proposal and if necessary, move the event.

  1. On your computer, open Google Calendar.
  2. On your calendar, click an event with a proposal .
  3. Under the guest list, click Review proposed time.
  4. To change the proposed time, click Save.

Turn off event response notification emails

  1. On your computer, open Google Calendar.
  2. At the top right, click Settings menu and then Settings.
  3. On the left, under "Settings for my calendars," select the specific calendar you want to change.
  4. Scroll to the “Other notifications” section.
  5. Next to "Event responses," click Menu Dropdown.
  6. Select None.

Manage guest response emails

  1. On your computer, open Google Calendar.
  2. Create a new event or open an existing event and select Edit Edit.
  3. Check or uncheck the box next to “Get an email when guests respond.”
    • This option controls email notifications for a single event or a recurring event series. It does not change your global Calendar notification preferences, which are found in your main Calendar settings.
  4. Click Save.

When you turn off guest response emails for an event, you do not get:

  • Email notifications when guests accept, decline, or mark an event as tentative.
  • RSVP statuses from third-party users, such as Outlook.
  • Automatic email replies to the invite, such as out of office messages.

Tip: Even with email notifications off, you can check when guests who use Google Calendar accept, decline, or mark an event as tentative in the guest list. However, you can’t check the RSVP status for guests who use other calendars, like Outlook.

Allow guests to forward invitations

If you give your guests permission to invite others, they can forward invitation emails to new guests. The new guests are added to the guest list and can invite others when they respond to the invitation.

If you don’t want guests to invite others:

  1. On your computer, open Google Calendar.
  2. On your calendar, open the event.
  3. At the top right, click Edit event Edit.
  4. Under “Guests permissions,” uncheck the box next to “Invite others.”
