Important: To add meeting rooms and other resources to your event, you need to have a work or school account. If you have a personal Google Account that ends in @gmail.com, learn how to create a calendar for a room or shared space.
You can add meeting rooms and other resources, like projectors, to your event.
Add a room to your event
Important: If you can't add a room to an event, Google Calendar may suggest a shortcut to create a duplicate event where you can book a room. This shortcut creates a single event, without any guests.
- On your computer, open Google Calendar.
- Create a new event or open an existing one.
- To edit an existing event, click Edit event
.
- To edit an existing event, click Edit event
- If your account is part of an organization with Rooms, click Rooms.
- Based on who you invite, you can choose from suggested rooms or search for a new one.
- Click the rooms or resources you want to add.
- Click Save.
Tips:
- You can book more than one room for an event.
- If you're an administrator, you can add new rooms and resources in the Google Admin console.
Remove a room from your event
- On your computer, open Google Calendar.
- Open an existing event.
- At the top right, click Edit event
.
- In the "Rooms" list, find the room or resource.
- Next to the room or resource, click Remove room
.
- Click Save.
Learn why a room declines your event
- Recurring events:
- Make sure the room's available for at least half of the events, and isn't unavailable more than 8 times.
- To book a room for a recurring event:
- At the top of the "Rooms" list, click the drop-down.
- Click Rooms for future events.
- Single events: Ask your administrator to change the sharing options for the room to "See all event details," or to give you permission to book the room.
- For some work or school accounts, if your room's declined, your administrator can turn on a setting to automatically book a similar room.
- For events with fewer than 20 guests, the organizer and guests receive an email with new room details.
- For more than 20 guests, only the organizer and the event creator receive an email with new room details.
